Job Overview:
The UN Volunteer Procurement and Travel Assistant will provide essential support in procurement and travel management for UNDP Morocco. This role involves close collaboration with various UNDP projects, operations, and other UN agencies. The assistant will work under the supervision of the Head of the General Services Unit and the Operations Manager, ensuring high-quality service delivery in procurement and travel processes. The position requires a client-oriented approach and the ability to manage multiple tasks effectively, contributing to the operational strategies of UNDP and supporting the overall mission of the organization.

Duties and Responsibilities:
The Procurement and Travel Assistant will be responsible for implementing operational strategies in support of UNDP activities, ensuring compliance with UN rules and regulations. Key functions include:
  • Providing effective procurement and logistical support, including processing purchase orders, organizing procurement processes, and maintaining filing systems.
  • Supporting travel management processes, including processing travel authorizations, coordinating with travel agents, and ensuring compliance with travel entitlements.
  • Assisting in knowledge building and sharing within the Country Office, participating in training sessions, and contributing to knowledge networks.
  • Ensuring timely follow-up on procurement and travel reports, and providing information for audits and cost-recovery bills. The role requires attention to detail, strong organizational skills, and the ability to work collaboratively with various stakeholders.

Required Qualifications:
Candidates must demonstrate a commitment to UNDP's mission and values, with a focus on client service and results-oriented approaches. Strong IT skills, particularly in Excel, Word, and Outlook, are essential. The ability to handle confidential information and manage a high volume of work is required. Candidates should possess good knowledge of administrative rules and regulations, and the ability to contribute to business process improvements. A proactive attitude towards personal learning and development is also important.

Educational Background:
A relevant educational background is required, typically a degree in business administration, management, or a related field. Candidates should have a solid understanding of procurement and travel management processes, as well as familiarity with UNDP's operational strategies and policies.

Experience:
Candidates should have prior experience in procurement, travel management, or administrative support roles, preferably within an international organization or UN agency. Experience in handling procurement processes, travel arrangements, and logistical support is highly desirable. The ability to work in a multicultural environment and adapt to changing circumstances is also important.

Languages:
Fluency in English and French is mandatory, as these are the working languages of UNDP in Morocco. Knowledge of Arabic is an asset and would be beneficial for communication with local stakeholders.
