Job Overview: The Project Assistant will play a crucial role in supporting the planning, implementation, and management of UN Women interventions under the multi-year project "Women’s Economic Empowerment in the South Caucasus" (WEESC). This project focuses on enhancing economic security and access to livelihood opportunities for women, particularly those who are the poorest and most marginalized in the South Caucasus region. The Project Assistant will work closely with the Programme Specialist and Programme Analyst, as well as with various stakeholders in Georgia, Armenia, and Azerbaijan, to ensure the successful execution of the project and the achievement of its goals. The role requires a strong emphasis on administrative and logistical support, financial management, and resource mobilization, as well as facilitating knowledge sharing and capacity building among team members and partners.
Duties and Responsibilities:
Provide administrative and logistical support for program formulation and management, including preparing work plans, budgets, and proposals, and offering technical guidance on routine delivery and reporting of program activities.
Assist in financial management by creating projects in the Quantum system, preparing budget revisions, monitoring budget preparation, and processing payments for consultants.
Undertake logistical and administrative arrangements for meetings, workshops, and events, including travel arrangements for the Programme Team.
Support resource mobilization efforts by preparing cost-sharing agreements and compiling information from donors and the program team.
Facilitate knowledge building by synthesizing lessons learned and organizing training for office personnel and partners.
Perform other duties as necessary for the efficient functioning of the office and organization.
Required Qualifications: Completion of secondary education is required, with a Bachelor’s degree in business administration or related fields being desirable. Candidates should have at least 7 years of progressively responsible experience in administration, procurement, HR, or logisticssupport services, or 4 years if they hold a Bachelor’s degree. Proficiency in using computers and office software packages (such as MS Word and Excel) is required, and knowledge of UN Women/UNDP procurement and financial rules is an advantage. Experience in gender equality and women’s empowerment is also desirable, along with familiarity with modern web-based ERP systems, preferably Oracle Cloud.
Educational Background: Candidates must have completed secondary education, with a Bachelor’s degree in business administration or related fields being preferred. This educational background is essential for understanding the administrative and financial aspects of the role and for effectively supporting the program management processes.
Experience: The position requires at least 7 years of progressively responsible experience in relevant fields such as administration, procurement, HR, or logistics support services. If the candidate holds a Bachelor’s degree, a minimum of 4 years of experience is acceptable. This experience should demonstrate the candidate's ability to manage administrative processes, financial management, and program support effectively.
Languages: Fluency in English and Georgian is mandatory for this position. Additionally, knowledge of another official UN language (such as French, Arabic, Chinese, Russian, or Spanish) is considered desirable, which would enhance communication and collaboration with diverse stakeholders.
