Job Overview:
The Human Resources Assistant position is designed to support the Senior HR Associate in various HR functions within the IOM office in Bangkok, Thailand. The incumbent will play a crucial role in facilitating recruitment processes, which includes coordinating the publication of job vacancies, sorting applications, arranging interviews, and preparing necessary documentation. The role also involves managing pre-employment activities, such as preparing Entry on Duty documentation, coordinating medical exams, and ensuring new hires are properly integrated into the organization. Additionally, the HR Assistant will maintain the organizational HR system, ensuring data accuracy and consistency, and will be responsible for timekeeping and leave administration. The position requires a proactive approach to support HR operations and contribute to a positive work environment.

Duties and Responsibilities:
The duties and responsibilities of the Human Resources Assistant include:
  • Supporting recruitment processes by coordinating the publication of Vacancy Notices, sorting applications, arranging interviews and tests, and preparing documentation.
  • Carrying out pre-employment activities, including preparing Entry on Duty documentation, coordinating medical exams, and managing orientation sessions.
  • Performing roles in the HR system, ensuring data accuracy, monitoring contractual situations, and generating HR-related reports.
  • Acting as Timekeeper, maintaining leave quotas, generating leave-related reports, and guiding staff on leave procedures.
  • Supporting separation, classification, reclassification, and promotion processes by collecting documentation and coordinating with relevant units.
  • Maintaining electronic and physical archiving systems for personnel files and HR policies.
  • Drafting employment certificates, notices, letters, and reports, and updating the organizational chart.
  • Organizing meetings and training activities, including logistical arrangements.

  • Performing other related duties as assigned.

Required Qualifications:
The position requires a High School diploma with four years of relevant experience, or a Bachelor’s degree in Human Resources, Business Administration, Psychology, or a related field with two years of relevant professional experience. Candidates must have proficiency in Microsoft Office applications, attention to detail, and the ability to organize paperwork methodically. Experience in SAP is an advantage, as is prior work experience with international humanitarian organizations or government institutions in a multicultural setting.

Educational Background:
Candidates must possess at least a High School diploma or a Bachelor’s degree in a relevant field such as Human Resources, Business Administration, or Psychology. Accredited universities are those listed in the UNESCO World Higher Education Database, ensuring that the educational background meets international standards.

Experience:
The ideal candidate should have at least two years of relevant professional experience if holding a Bachelor’s degree, or four years of experience with a High School diploma. Experience should include proficiency in Microsoft Office applications and familiarity with HR processes, particularly in a multicultural environment. Previous work experience with international organizations is highly desirable.

Languages:
Fluency in English and Thai is required, both oral and written. This bilingual requirement is essential for effective communication within the organization and with stakeholders.

Additional Notes:
This position is a One Year Fixed-Term Contract with an initial duration of 12 months, subject to extension based on performance and funding availability. The role is open to Thai Nationals only, and candidates must hold a valid residence and work permit for Thailand. The appointment is contingent upon medical fitness certification and verification of residency and visa requirements.
