Job Overview:
The Management Services Assistant will report directly to the Head of Management Services in Gaza. This role is crucial for supporting the effective day-to-day delivery of specialized, client-focused, and value-for-money services related to the Management Services portfolio. The incumbent will be responsible for ensuring that the services provided are efficient and of high quality, contributing to the overall mission of WFP in Palestine. The position requires a proactive approach to problem-solving and the ability to manage multiple tasks effectively. The candidate will also be expected to engage with various stakeholders, including internal teams and external partners, to facilitate smooth operations and enhance service delivery.

Duties and Responsibilities:
The incumbent will perform a variety of key responsibilities, including but not limited to: supporting the efficient delivery of Management Services by performing tasks related to procurement, finance, human resources, and other relevant areas; collating data and preparing basic analyses to assist in the creation of reports for resource management; managing and maintaining both physical and digital records to ensure easy access to data; serving as the first point of contact for internal queries and providing timely responses; suggesting improvements to procedures and practices to enhance service quality; utilizing digital tools to improve working practices; providing administrative support for inter-agency initiatives; liaising with other functions and third-party contractors; advising and guiding junior staff; and performing emergency preparedness and response tasks as directed by the supervisor.

Required Qualifications:
Candidates must possess a minimum of five years of progressively responsible work experience in managing people, processes, technology, and general management services. A strong understanding of WFP Management Services regulations, policies, and procedures is essential. The ability to collate data and prepare analyses related to management services, as well as experience in providing guidance and support to staff, is highly desirable. Candidates should also demonstrate experience working collaboratively with teams across different functional areas.

Educational Background:
The minimum educational requirement is the completion of secondary school education. A post-secondary certificate in a related functional area or a university degree in business, public administration, engineering, or a related field is preferred. This educational background will provide the necessary foundation for understanding the complexities of management services within WFP.

Experience:
The position requires at least five years of relevant experience in management services, which includes managing people, processes, and technology. Candidates should have a proven track record of progressively responsible work experience that demonstrates their ability to handle the responsibilities outlined in the job description effectively.

Languages:
Fluency in both Arabic and English, in both oral and written communication, is mandatory for this position. This bilingual proficiency is essential for effective communication within the diverse environment of WFP and for interacting with various stakeholders. Additional language skills may be considered an asset but are not required.

Additional Notes:
This position is offered under a Service Contract for a duration of 12 months, with the possibility of renewal. It is specifically open to nationals or residents with a legal permit or ID to work in Gaza.
