Job Overview: The Facility Management Officer will be responsible for providing technical, administrative, and process-related support to establish and maintain global standards and best practices in facility management across IOM offices. This role involves mapping and documenting all IOM premises globally, producing comprehensive facility inventories, and generating facility management statistics such as occupancy rates, space utilization, maintenance schedules, and sustainability metrics. The incumbent will assist in decision-making processes by analyzing data and providing insights to improve operational efficiency. Additionally, the officer will guide field offices on policy updates, facilitate the implementation of new guidelines, and ensure compliance with organizational standards. The position also requires contributing to the development of specialized policies and frameworks tailored to efficient facility management, monitoring and evaluating practices, and promoting sustainability initiatives within facility management operations.
Duties and Responsibilities: The Facility Management Officer will have a comprehensive set of responsibilities, including:
Providing technical and process-related support for establishing and maintaining global standards in facility management.
Mapping and documenting all IOM premises globally and updating spatial databases.
Gathering, analyzing, and generating facility management statistics to inform decision-making.
Offering guidance and support to field offices regarding policy updates and compliance with organizational standards.
Contributing to the development and periodic review of guidance documents reflecting best practices in facility management.
Monitoring and evaluating the effectiveness of facility management practices and recommending improvements.
Assisting in managing archives and records at headquarters and field locations.
Participating in lease review and renovation projects, providing data-driven insights.
Promoting sustainability initiatives by integrating environmentally friendly practices into facility management operations. 1
Drafting components for reports and presentations as needed. 1
Performing other duties as assigned.
Required Qualifications: Candidates must possess a Master's degree in Facility Management, Engineering, Business Administration, or a related field from an accredited institution, along with two years of relevant professional experience. Alternatively, a University degree in the same fields with four years of relevant experience is acceptable. Candidates should have a strong understanding of policy development processes, international standards in facility management, and the ability to contribute to decision-making processes. Strong analytical, communication, and advisory skills are essential.
Educational Background: The educational background required for this position includes a Master's degree in Facility Management, Engineering, Business Administration, or a related field from an accredited academic institution. Accredited universities are those listed in the UNESCO World Higher Education Database. Alternatively, a University degree in the same fields with four years of relevant professional experience is acceptable.
Experience: A minimum of two years of professional experience in facility management and operations is required. Candidates should have experience contributing to policy and framework development for facility management, as well as experience in communications and stakeholder collaboration. The ability to contribute to decision-making processes is also essential, along with strong analytical and advisory skills.
Languages: Fluency in English is required for this position, both oral and written. A working knowledge of another official UN language (Arabic, Chinese, French, Russian, or Spanish) is considered an advantage. Proficiency in the required languages will be specifically evaluated during the selection process, which may include written and/or oral assessments.
Additional Notes: The position is a fixed-term contract for one year, with the possibility of extension. It is classified at the P-2 grade level.
