Job Overview: The Finance Assistant position is a critical role within the IOM, responsible for supporting the financial management of resources in accordance with the organization's rules and regulations. The incumbent will work under the supervision of the Resource Management Officer and the Finance Officer, contributing to various financial processes including budget preparation, financial reporting, and compliance. The Finance Assistant will also play a key role in payroll preparation and staff support, ensuring that all financial transactions are processed efficiently and in compliance with IOM policies.
Duties and Responsibilities: The Finance Assistant will be tasked with a variety of duties including:
Assisting in managing financial resources by monitoring and controlling assets, reserves, and funds in accordance with IOM regulations.
Managing the office's petty cash and ensuring proper documentation.
Supporting the preparation of annual budgets and revisions, including estimating costs for staff, utilities, and supplies.
Assisting in the preparation of financial reports and ensuring timely financial monitoring of projects.
Extracting and inputting data into financial systems and analyzing financial data across the mission.
Preparing donor financial reports and addressing comments from relevant authorities.
Reviewing payment requests and verifying vendor claims for accuracy.
Assisting in payroll preparation and providing support to staff services.
Performing other related duties as required to support the finance team and the organization.
Required Qualifications: Candidates must possess a high school degree or certificate with a minimum of five years of relevant work experience, or a Bachelor’s Degree from an accredited institution. The position requires excellent communication skills in English, and previous experience in an international or humanitarian organization is advantageous. Strong computer skills, particularly in Microsoft Excel, Word, and Outlook, are essential. Candidates should demonstrate attention to detail, the ability to work under pressure, and effective teamwork skills. A commitment to diversity and respect for cultural differences is also required.
Educational Background: The educational background required for this position includes a high school diploma or certificate with significant work experience, or a Bachelor’s Degree from an accredited university. Experience: The Finance Assistant should have a minimum of five years of relevant work experience in finance or accounting roles. Languages: Fluency in English and French is required for this position, both oral and written.
