Job Overview:
The Administrative Assistant to the Chief of Mission (CoM) plays a crucial role in supporting the CoM in various administrative and diplomatic functions. This position requires a high level of organization and communication skills, as the incumbent will be responsible for liaising with government ministries, UN agencies, and other key partners. The role involves preparing for meetings, drafting correspondence, and managing the CoM's calendar, ensuring that all administrative tasks are handled efficiently. The assistant will also be involved in organizing conferences and workshops, as well as maintaining records and documentation related to the CoM's activities. This position is vital for ensuring that the CoM can focus on strategic decision-making and diplomatic engagements without being bogged down by administrative details.

Duties and Responsibilities:
The duties and responsibilities of the Administrative Assistant include assisting the Chief of Mission in government liaison activities, organizing and coordinating meetings, drafting and reviewing correspondence, facilitating conferences and workshops, managing the CoM's calendar, and preparing travel arrangements. The assistant will also be responsible for maintaining filing systems, developing databases for documentation, and providing administrative support to the CoM and other relevant units. Additionally, the role requires monitoring government contacts and serving as a diplomatic protocol focal point. The assistant must ensure confidentiality and manage sensitive information with discretion, while also keeping abreast of organizational changes and policies affecting the CoM's office.

Required Qualifications:
Candidates must possess a Bachelor’s Degree in Business Administration, Social Sciences, or a related field, with a preference for those who have experience in senior management roles within international organizations. Alternatively, a High School degree with a minimum of six years of relevant professional experience is acceptable. The ideal candidate should have strong administrative skills, experience in liaising with governmental authorities, and familiarity with UN systems or similar frameworks.

Educational Background:
A Bachelor’s Degree in Business Administration, Social Sciences, or a related field is required. Candidates with a High School degree must have significant professional experience to compensate for the lack of a higher degree. Educational qualifications should align with the responsibilities of the position, emphasizing the importance of administrative and organizational skills.

Experience:
Candidates should have prior experience in liaising with governmental authorities and international institutions, including UN agencies and NGOs. Experience in administration, writing summary reports, and public relations is highly advantageous. A minimum of four years of relevant experience is required for those with a Bachelor’s degree, while those with a High School degree should have at least six years of experience in similar roles.

Languages:
Fluency in English is mandatory, and proficiency in French is highly desirable due to the working environment in Chad. Additional languages may be considered an asset, especially those relevant to the local context or international relations.
