Job Overview:
The Executive Assistant position is crucial for ensuring the effective and efficient functioning of the Resident Coordinator's Front Office in Montevideo, Uruguay. The role involves managing the RC's schedule, logistical requirements, and protocol procedures while maintaining confidentiality. The Executive Assistant will work under the guidance of the Head of Office and directly report to the Resident Coordinator. The position requires a proactive approach to managing information flow, following up on deadlines, and ensuring that all correspondence adheres to UN standards. Duties and Responsibilities:
The Executive Assistant will undertake a variety of responsibilities, including but not limited to:
  • Ensuring the effective functioning of the RC Front Office by maintaining the RC's calendar, arranging appointments and meetings, providing protocol coverage, and ensuring logistical details for events.
  • Coordinating high-quality briefing materials for the RC, ensuring compliance with UN norms, and drafting key correspondence.
  • Managing travel logistics for the RC, including preparing travel requests and following up on trip reports.
  • Maintaining contact lists of high-level partners and assisting in organizing official events.
  • Supporting effective communications by maintaining filing systems, screening calls, and coordinating activities of the RC's driver.
  • Assisting in general administration tasks, including contract administration and human resource management.
  • Collecting and analyzing data for reports and presentations, ensuring documentation of requirements for data analysis.
  • Performing other relevant duties as assigned by the RC or Head of Office.

Required Qualifications:
Candidates must possess a high school diploma or equivalent, with a bachelor's or advanced degree in business administration, office management, communication, or related fields being advantageous. A minimum of seven years of progressively responsible experience in administrative services, finance, accounting, audit, human resources, or related areas is required. Candidates with a first-level university degree may have the minimum experience requirement reduced by two years. Experience in front office management and providing senior executive support within the UN system or international organizations is desirable, along with experience in data analytics or related areas.

Educational Background:
The educational background required for this position includes a completion of a high school diploma or equivalent. A bachelor's or advanced university degree in relevant fields such as business administration, office management, or communication is preferred and would provide an advantage in the selection process.

Experience:
The position requires a minimum of seven years of progressively responsible experience in administrative services, finance, accounting, audit, human resources, or related areas. Candidates with a first-level university degree may have this requirement reduced by two years. Experience in front office management is desirable, as is experience in providing administrative support within the UN system, international organizations, or embassies.
