Job Overview:
The Executive Assistant position is located within the United Nations Resident Coordination Office (RCO) in Montevideo, Uruguay. This role is pivotal in ensuring the effective and efficient functioning of the Resident Coordinator's (RC) Front Office. The Executive Assistant will manage the RC's schedule, logistical requirements, and protocol procedures while maintaining confidentiality. The position requires a proactive approach to managing information flow, following up on commitments, and ensuring that the RC is well-prepared for meetings and events. The Executive Assistant will also be responsible for drafting correspondence, managing travel arrangements, and providing administrative support to the RC and the RCO team. This role demands a high level of professionalism, organizational skills, and the ability to communicate effectively with various stakeholders.

Duties and Responsibilities:
The Executive Assistant will have a comprehensive set of responsibilities, including but not limited to:
  • Ensuring the effective functioning of the RC Front Office by maintaining the RC's calendar, arranging appointments, and providing logistical support for events.
  • Drafting key correspondence and managing the flow of documents to ensure compliance with UN standards.
  • Coordinating travel arrangements for the RC, including preparing travel requests and managing logistics.
  • Maintaining contact lists of high-level partners and assisting in organizing official events.
  • Supporting the RC in administrative tasks, including documentation, visa arrangements, and data analysis.
  • Acting as an alternate to the RCO Administrative Assistant when required, providing support in contract administration, budget management, and human resources.
  • Participating in the organization of UN events and meetings, providing secretariat support as needed.
  • Ensuring the safekeeping of confidential materials and maintaining an organized filing system.

Required Qualifications:
Candidates must possess a minimum of seven years of progressively responsible experience in administrative services, finance, accounting, audit, human resources, or a related area. This requirement is reduced by two years for candidates with a first-level university degree. Experience in front office management and providing administrative support within the UN system or international organizations is desirable. Additionally, candidates should have experience in data analytics or related fields, which is considered an asset. Strong organizational and communication skills are essential, along with the ability to work under pressure and manage multiple tasks effectively.

Educational Background:
A high school diploma or equivalent is required for this position. A bachelor's or advanced university degree in business administration, office management, communication, or related fields is advantageous and may enhance a candidate's competitiveness for the role.

Experience:
The position requires a minimum of seven years of relevant experience in administrative services or related fields. Candidates with a first-level university degree may qualify with five years of experience. Experience in front office management and providing support to senior executives within the UN or similar organizations is highly desirable. Additionally, candidates should have at least one year of experience in data analytics or a related area, which will be beneficial for the role.

Languages:
For this position, proficiency in English and Spanish is required. According to the UN Language Framework, candidates must demonstrate a minimum level of proficiency in reading, writing, listening, and speaking in both languages. Knowledge of French is an asset but not mandatory. The required proficiency levels are UN Level II for English and UN Level III for Spanish, indicating a strong command of both languages in a professional context.

This is a Fixed Term position, initially for one year, with the possibility of extension based on funding and budgetary approval.
