Job Overview:
The Project Assistant position at UN Women involves providing comprehensive programme, administrative, and logistical support to ensure the effective planning, implementation, and monitoring of various programmes and initiatives. The role is crucial in assisting the Women’s Economic Empowerment Programme Specialist and Portfolio Manager for South Caucasus. The Project Assistant will be responsible for supporting the formulation and management of programmes, which includes preparing work plans, budgets, and proposals, as well as tracking the delivery of funds. The position requires a proactive approach to administrative tasks, ensuring compliance with UN Women’s rules and regulations while facilitating the smooth operation of the Programme Unit. The Project Assistant will also engage in resource mobilization efforts and contribute to knowledge sharing within the organization, making this role integral to the success of UN Women’s initiatives in Armenia.

Duties and Responsibilities:
  • Provide administrative and logistical support to the formulation and management of programmes, including preparing work plans, budgets, and proposals, and tracking fund delivery.
  • Assist executing partners with routine delivery and reporting of programme activities and finances.
  • Support the audit process of programmes/projects and implement audit recommendations.
  • Gather and compile data for documents, guidelines, speeches, and position papers in collaboration with the Programme team.
  • Create projects in the Quantum system, prepare budget revisions, and manage project awards and statuses.
  • Monitor and prepare budgets for programmes/projects, including preparation of FACE forms and processing payments for consultants.
  • Organize logistical arrangements for meetings, workshops, events, and missions, including travel arrangements for the Programme Team.
  • Draft meeting minutes and prepare presentations in collaboration with the Programme team.
  • Organize and coordinate filing of documents and maintain mailing lists. 1
  • Support resource mobilization by processing documentation and information from donors. 1
  • Facilitate knowledge building by organizing training for office personnel and partners. 1
  • Perform other duties as necessary for the efficient functioning of the Office and the Organization.

Required Qualifications:
  • Completion of secondary education is required.
  • A Bachelor’s degree in business or public administration is desirable.
  • At least 5 years of progressively responsible experience in administrative or programme management/support is required, or 2 years in case of a Bachelor's degree.
  • Experience in a computer environment using multiple office software packages is required.
  • Experience with ERP systems, preferably Oracle Cloud, is desirable.
  • Experience in supporting a team is also desirable.

Educational Background:
The minimum educational requirement for the Project Assistant position is the completion of secondary education. However, a Bachelor’s degree in business or public administration is highly desirable and may enhance the candidate's qualifications for the role.

Experience:
Candidates should possess at least 5 years of progressively responsible experience in administrative or programme management/support roles. If the candidate holds a Bachelor’s degree, a minimum of 2 years of relevant experience is acceptable. Experience in a computer environment using various office software packages is essential, and familiarity with ERP systems, particularly Oracle Cloud, is considered an asset. Additionally, experience in providing support to a team is beneficial.

Languages:
Fluency in Armenian and English is mandatory for this position. Fluency in Russian is desirable, and knowledge of another official UN language such as French, Arabic, Chinese, or Spanish is also considered advantageous.
