Job Overview:
The National Consultant – Programme Coordination will provide essential administrative, coordination, and logistical support to the UN Women Sri Lanka office and its projects. Reporting to the Head of Office, the consultant will assist in managing the Head of Office’s calendar, organizing meetings, and coordinating travel logistics. The role involves liaising with various stakeholders, providing administrative support for meetings and events, and ensuring the smooth implementation of project activities. The consultant will be responsible for maintaining filing systems, preparing necessary documents for travel, and supporting contract management for consultants. The position requires a proactive approach to ensure timely completion of tasks and adherence to UN Women’s rules and regulations.

Duties and Responsibilities:
  • Provide coordination and administrative support to the Head of Office, including managing the calendar, scheduling appointments, and organizing travel logistics.
  • Liaise with UN agencies, government counterparts, project partners, and beneficiaries as directed.
  • Organize and attend meetings, prepare minutes, and respond to inquiries.
  • Support project implementation by organizing logistics for events, trainings, and meetings.
  • Assist in preparing documents for staff travel and managing contracts for consultants.
  • Maintain filing systems and online document repositories.
  • Provide general administrative support as required by the Project Manager.
  • Ensure timely submission of reports detailing tasks undertaken for the UN Women Sri Lanka Office.

Required Qualifications:
Completion of secondary education is required, with a Bachelor’s degree in business administration, public administration, or related fields considered an asset. Candidates should have at least 6 years of progressively responsible experience in administrative, secretarial, or program roles, including HR, procurement, or logistics support services. Proficiency in computer applications, particularly Microsoft Office and web-based management systems, is essential. Experience with a modern web-based ERP System, preferably Oracle Cloud, is desirable. Previous engagement with UN agencies, donors, and high-level government stakeholders in Sri Lanka is preferred.

Educational Background:
Candidates must have completed secondary education, with a Bachelor’s degree in relevant fields being an asset. This educational background is crucial for understanding the administrative and programmatic aspects of the role.

Experience:
The position requires at least 6 years of progressively responsible experience in administrative, secretarial, or program roles. This includes experience in HR, procurement, or logistics support services. Familiarity with computer applications and web-based management systems is necessary, along with experience in engaging with UN agencies and government stakeholders.

Languages:
Proficiency in English is mandatory, along with fluency in local languages, specifically Sinhala and Tamil. This linguistic capability is essential for effective communication with diverse stakeholders.

  • The consultant will work at the UN Women Sri Lanka Office in Colombo and may need to travel to project locations. Payments will be based on task completion and will be processed upon submission of reports. Reimbursement for mobile, internet, printing, and travel costs may be available with prior approval. The consultant is expected to adhere to UN Women’s policies and undergo background checks.
