Job Overview:
The Business Support Assistant (Billing & Reconciliation) will play a crucial role in supporting the administrative, financial, and operational functions related to the Cash-Based Transfers (CBT) Retail portfolio within the Supply Chain unit. This position requires a proactive individual who can effectively coordinate with both internal and external stakeholders to ensure the smooth processing of financial transactions and data management. The incumbent will be responsible for preparing and routing documentation, managing invoices, and maintaining accurate sales and price data. The role also involves data entry into corporate systems, ensuring compliance with established WFP procedures, and providing analytical support for tracking fund utilization and grant balances. The successful candidate will contribute to the overall efficiency of the Supply Chain operations, enabling WFP to deliver effective humanitarian assistance to those in need.

Duties and Responsibilities:
  • Assist in processing financial and administrative tasks to support effective and timely management of Supply Chain resources.
  • Support invoice management for Supply Chain—primarily CBT-Retail—by receiving, reviewing, analyzing, and submitting invoices to the Finance Unit.
  • Process data entry requests in WFP’s corporate systems, coordinating with relevant personnel to address any discrepancies. Organize and maintain electronic and paper records in accordance with WFP procedures to ensure efficient information retrieval and compliance with audit requirements.
  • Support the maintenance of regular sales data from contracted retailers and carry out basic analysis of commodity-wise sales volumes to inform operational planning and market performance assessments.
  • Support the implementation of weekly and monthly price monitoring activities, ensuring timely collection, validation, and entry of price data to facilitate negotiation analysis and evidence-based decision-making.
  • Enter accurate and timely data in corporate systems within established deadlines.
  • Provide basic analytical inputs for tracking fund utilization, grant balances, and progress indicators, flagging discrepancies to the supervisor to support effective decision-making.
  • Prepare, collate, and route relevant documents required for approvals, releases, and internal coordination in accordance with established procedures.
  • Schedule meetings and support logistical arrangements for the unit, including coordination of vehicle allocation and communication with the Fleet Unit to ensure timely deployment of transport resources. 1
  • Respond to queries and escalate issues as necessary to ensure timely and accurate service delivery to stakeholders. 1
  • Perform any other related duties as required.

Required Qualifications:
The ideal candidate should possess a University Degree (Bachelor's or equivalent) in a relevant field. A background in Supply Chain, Logistics, Finance, Accounting, or Data Management is preferred. Candidates should demonstrate strong technical skills, particularly in Microsoft Excel, to effectively manage data and perform analyses. Additionally, the ability to work collaboratively in a team environment and communicate effectively with various stakeholders is essential.

Educational Background:
Completion of a University Degree (Bachelor's or equivalent) is required for this position. Education in fields related to Supply Chain, Logistics, Finance, or Data Management is preferred, as it provides the foundational knowledge necessary for the role's responsibilities.

Experience:
Candidates should have at least 4 years of relevant experience in Supply Chain, Logistics, Finance, Accounting, Data Management, or a related field. This experience should demonstrate the ability to manage financial transactions, data entry, and administrative tasks effectively. Familiarity with WFP procedures and systems is an advantage, as is experience in a humanitarian or development context.

Languages:
Fluency in both spoken and written English and Bangla is mandatory for this position. Proficiency in additional languages may be considered an asset, enhancing communication with diverse stakeholders and beneficiaries.

This position is classified under the Service Contract category and is expected to last for a duration of 6 months. The duty station for this role is Cox's Bazar, Bangladesh, and it is specifically open to Bangladeshi Nationals.
