Job Overview:
The Project Assistant will play a crucial role in supporting the implementation of a project focused on improving resource efficiency in Caribbean economies, particularly in the areas of circular economy and solid waste management. This position involves providing comprehensive administrative, logistical, communication, and knowledge-management assistance to the Regional Project Coordinator at the Latin America and the Caribbean Office. The Project Assistant will be responsible for day-to-day project operations, including meeting and event coordination, partner liaison, and the preparation and dissemination of project information and outreach materials. The role requires close collaboration with various stakeholders and specialized personnel to ensure effective project delivery and compliance with UNEP’s objectives.

Duties and Responsibilities:
The Project Assistant will perform a variety of tasks, including:
  • Providing administrative support for project implementation and closure, which includes preparing correspondence, organizing documentation, and maintaining project files and databases.
  • Supporting the preparation and formatting of materials such as PowerPoint presentations, briefing notes, and summary reports for project meetings, workshops, and trainings.
  • Facilitating project communications, ensuring timely follow-up and coordination with internal teams, partners, and stakeholders.
  • Organizing meetings, workshops, trainings, and field missions, including managing agendas, invitations, participant follow-up, and logistical assistance.
  • Serving as a liaison with local suppliers and the administrative team to ensure timely delivery of materials and equipment.
  • Supporting the coordination of procurement processes and ensuring compliance with tracking and procedures.
  • Managing basic office logistics such as supplies and small procurement needs.
  • Compiling and organizing knowledge management documents for all technical and communication project activities.
  • Overseeing the development and maintenance of a directory of relevant entities and stakeholders. 1
  • Liaising with suppliers, partners, and stakeholders to ensure smooth project implementation. 1
  • Ensuring compliance with office policies and assisting in the development of new policies as needed. 1
  • Performing any other related duties requested by the supervisor to support effective project delivery.

Required Qualifications:
The position requires a Bachelor’s degree in Business Administration, Management, Social Sciences, Environmental Management, or related fields. Additional studies or training in communication, information management, or project knowledge management are desirable. Candidates should have five years of professional work experience at the national and/or international level in business management with administrative, operational, or project support roles. Experience with computer databases and information systems is desired, and prior experience within the UN system or other international development organizations is an asset.

Educational Background:
Candidates must possess a Bachelor’s degree in a relevant field such as Business Administration, Management, Social Sciences, Environmental Management, or related disciplines. Additional qualifications in communication or project management are considered advantageous.

Experience:
The ideal candidate should have a minimum of five years of professional experience in administrative, operational, or project support roles, preferably at both national and international levels. Experience working with international cooperation agencies and projects is highly desirable, as is familiarity with the UN system or other international development organizations.

Languages:
Fluency in English is mandatory for this position, while a working knowledge of Spanish is considered desirable. Strong oral and written communication skills are essential for effective collaboration and reporting.

Additional Notes:
The position is based in Kingston, Jamaica, and is expected to last for a duration of six months. The Project Assistant will work full-time, dedicating 40 hours per week to the project. The role requires exclusive dedication to project tasks, and candidates should be prepared to engage in a collaborative and multicultural work environment.
