Job Overview: The Programme Assistant position at UN Women involves providing comprehensive support to the Programme Team in the development and implementation of effective programs that align with UN Women’s rules and regulations. The role requires a proactive approach to administrative, logistical, and financial management tasks, ensuring smooth program implementation. The Programme Assistant will report directly to the Programme Analyst and will be responsible for various functions including administrative support for program/project work plans, budgets, and proposals, as well as maintaining project documentation and facilitating stakeholder communication. This position is crucial for the successful execution of UN Women’s initiatives in Women’s Economic Empowerment and Gender Responsive Budgeting in Uzbekistan, and it requires a strong commitment to gender equality and women's empowerment.
Duties and Responsibilities:
Provide administrative and logistical support to the formulation and management of programmes, including preparation of work plans, budgets, and proposals, tracking fund delivery, and maintaining comprehensive project documentation.
Support financial management of the Programme Unit by creating projects in the Quantum system, preparing budget revisions, and processing payments for consultants.
Undertake logistical and administrative arrangements for meetings, workshops, and events, including travel arrangements and document preparation.
Act as a liaison between the project team and stakeholders to facilitate communication and alignment of project activities with organizational goals.
Support research and analysis to inform team activities and optimize strategies.
Facilitate knowledge building and sharing by organizing training for staff and partners.
Provide administrative support to resource mobilization efforts by compiling documentation and information from donors and the programme team.
Required Qualifications: The position requires a minimum of secondary education, with a Bachelor’s degree in business or public administration being desirable. Candidates must have at least 5 years of progressively responsible experience in administrative or programme management/support with secondary education, or 2 years with a Bachelor’s degree. Proficiency in using multiple office software packages and experience with ERP systems, preferably Oracle Cloud, is required. Knowledge of gender equality, women’s empowerment, and sustainable development is considered an asset, along with previous experience in civil society organizations and the United Nations.
Educational Background: Completion of secondary education is required, while a Bachelor’s degree in business or public administration is desirable for this position. This educational background provides the necessary foundation for understanding the administrative and programmatic functions required in the role.
Experience: Candidates should have a minimum of 5 years of relevant experience with secondary education or 2 years with a Bachelor’s degree in progressively responsible roles related to administrative or programme management/support. Experience in a computer environment using multiple office software packages is essential, and familiarity with ERP systems, particularly Oracle Cloud, is desirable. Previous experience in civil society organizations and a solid understanding of the civil society landscape will be advantageous. Additionally, candidates with knowledge of gender equality and women’s empowerment will be preferred.
Languages: Fluency in English and Uzbek is required for this position. Knowledge of another official UN language such as French, Arabic, Chinese, Russian, or Spanish is considered desirable, as it may enhance communication with diverse stakeholders and partners.
