Job Overview:
The Travel Associate position at UN Women involves providing essential support in the execution of travel services within the Business Unit. This role is crucial for ensuring effectiveness, transparency, and integrity in travel operations. The Travel Associate is expected to adopt a client-focused, quality, and results-oriented approach while collaborating closely with Operations, Programme, and Project teams across the organization. The position requires the Travel Associate to manage travel-related inquiries, provide advisory support, and resolve complex travel issues, all while adhering to UN Women’s travel policies and strategies. The role also involves leveraging data analytics tools to track compliance and performance, contributing to the development of sustainable travel strategies, and ensuring that travel processes align with operational requirements.

Duties and Responsibilities:
The Travel Associate will be responsible for a variety of key functions, including: 1) Providing administrative and policy support in implementing UN Women’s travel strategies, including drafting responses to inquiries, contributing to travel management policies, and supporting audits related to travel operations. 2) Organizing travel processes for UN Women Headquarters, managing travel requests, booking arrangements, and ensuring compliance with travel policies. 3) Managing travel contract processes, maintaining rosters of service providers, and providing technical advice on travel requests. 4) Facilitating knowledge building and sharing by developing training materials and conducting sessions on travel management. 5) Supporting overall management of travel services, ensuring quality assurance of travel documents, tracking expenses, and coordinating with internal departments. 6) Performing other duties as necessary for the efficient functioning of the Office and the Organization.

Required Qualifications:
The position requires a minimum of 6 years of relevant experience in travel with progressive responsibility. Candidates should have a strong understanding of procurement processes, administrative rules, and regulations. Proficiency in using spreadsheets and database packages is essential, along with the ability to work under pressure and meet deadlines. Candidates must demonstrate strong IT and web-based management skills, as well as the ability to handle confidential information and a high volume of work.

Educational Background:
Completion of secondary education is required, while a university degree in Business Administration, Public Administration, Finance, Economics, Law, Information Technology, or a related field is desirable. Certifications in procurement (e.g., CIPS) or travel-related fields (e.g., IATA) are considered assets.

Experience:
Candidates should possess a minimum of 6 years of relevant experience in travel, ideally at an international level or within a UN Agency. Experience with office software packages such as MS Word and Excel, as well as advanced knowledge of web-based management systems like ERP, is required.

Languages:
Fluency in English is mandatory for this position. Additionally, fluency in Spanish or French is desirable, enhancing the candidate's ability to communicate effectively in a multilingual environment.
