Job Overview:
The Project Assistant position is integral to the ILO's efforts in Ukraine, particularly in the context of the Decent Work Country Programme for Ukraine, which is set to commence in 202
  • This role involves supporting the administration and operational functions of the project, ensuring that all activities align with the ILO's mission to improve labor market conditions and governance. The Project Assistant will work closely with the Project Manager and other team members to facilitate the smooth execution of project activities, including managing documentation, financial records, and communication efforts. The position requires a proactive approach to problem-solving and the ability to work collaboratively in a multicultural environment. The successful candidate will play a key role in the implementation of the ILO's Productivity Ecosystems for Decent Work programme, which aims to enhance productivity and decent work creation in Ukraine's enterprises.

Duties and Responsibilities:
The Project Assistant will be responsible for a variety of administrative and operational tasks, including but not limited to:
  • Ensuring the smooth functioning of project administration and office management.
  • Processing entitlements, issuing contracts, and maintaining records and files.
  • Collecting and compiling socioeconomic data and drafting reports on project activities.
  • Organizing data and preparing records for monitoring and evaluation purposes.
  • Assisting in drafting notes, meeting minutes, and translating documents between English and Ukrainian.
  • Participating in ILO activities and assisting with workplan development.
  • Managing expenditures under development cooperation funding and providing financial information.
  • Liaising with administrative focal points from other agencies and maintaining budget records.
  • Organizing special meetings and coordinating administrative arrangements for workshops and training sessions. 1
  • Making travel arrangements and preparing travel authorization forms. 1
  • Providing interpretation services for ILO missions and staff. 1
  • Supporting communication efforts, including drafting press releases and updating social media. 1
  • Performing additional duties as requested by the Project Manager or ILO CO Kyiv Director.

Required Qualifications:
Candidates must have completed secondary school education, supplemented by technical or university-level courses relevant to the work of the organization. Specialized training in a field relevant to the ILO's work and previous experience with the UN would be advantageous. The role requires excellent organizational skills, attention to detail, and the ability to manage multiple tasks effectively. Candidates should demonstrate a strong understanding of administrative processes and possess good communication skills, both written and oral.

Educational Background:
The educational background required for this position includes completion of secondary school education, along with additional technical or university-level courses in a relevant field. Specialized training in areas pertinent to the ILO's work is preferred, and prior experience with UN projects will be considered an asset.

Experience:
The ideal candidate should have at least six years of progressively responsible clerical or administrative work experience, with a minimum of one year in program support activities. Experience in similar roles within UN or ILO projects will be given special consideration. Familiarity with UN resource programs such as IRIS is also beneficial.

Languages:
Candidates must possess excellent knowledge of both Ukrainian and English, with proficiency in both oral and written communication. This bilingual capability is essential for effective interaction within the multicultural environment of the ILO and for fulfilling the translation duties required by the position.

Additional Notes:
This position is a fixed-term contract for one year, starting in April 2026, with the possibility of extension based on various factors, including the availability of funds and the continuing need for the role. The entry-level salary for this position is set at 23,442 USD per year.
