Duties and Responsibilities:
The Team Assistant will have a comprehensive set of responsibilities, including:
  • Providing administrative support to a select business line, ensuring efficient coordination of daily operations and adherence to IFC policies and procedures.
  • Managing scheduling and calendar arrangements for team members, which includes organizing meetings, appointments, and conference calls with both internal and external stakeholders.
  • Preparing, editing, and formatting high-quality documents, reports, presentations, and correspondence in English, ensuring accuracy and professionalism.
  • Coordinating travel arrangements for team members, including booking flights, accommodations, and transportation, while ensuring compliance with IFC travel policies.
  • Facilitating the planning and execution of events, workshops, and meetings, including logistical arrangements, participant communication, and on-site support.
  • Maintaining and updating records, databases, and filing systems to ensure accurate documentation and easy retrieval of information.
  • Acting as a liaison between the business line and other IFC departments, fostering effective communication and collaboration across teams.
  • Monitoring and tracking deadlines, deliverables, and follow-ups to ensure timely completion of tasks and alignment with organizational priorities.
  • Supporting procurement and financial processes, including preparing purchase requests, processing invoices, and tracking expenses in line with IFC guidelines. 1

Required Qualifications:
The ideal candidate for the Team Assistant position should possess the following qualifications:
  • A university degree in business administration, finance, management, or a related field, or a high school diploma with at least 2 years of relevant experience in administrative or team support roles.
  • A minimum of 4 years of relevant work experience in a large international institution, private sector organization, or development agency, with prior experience in an international organization considered an advantage.
  • Proven ability to support dynamic and multicultural teams, demonstrating adaptability and collaboration in diverse work environments.
  • Proficiency in English with excellent written and verbal communication skills to effectively engage with internal and external stakeholders.
  • Advanced proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software tools for document preparation, data management, and scheduling.
  • Strong organizational skills, with demonstrated ability to prioritize tasks, manage multiple deadlines, and maintain attention to detail in a fast-paced environment.
  • Experience in coordinating travel arrangements, events, and meetings, ensuring compliance with organizational policies and seamless execution.
