Job Overview:
The Project Coordinator will play a crucial role in the planning, coordination, implementation, and monitoring of project activities in the state of Rio Grande do Sul. This position requires a proactive individual who can compile, summarize, analyze, and present information on specific project topics, highlighting noteworthy issues for consideration by relevant parties. The successful candidate will be responsible for monitoring budget implementation, proposing necessary adjustments, and acting as the focal point for administrative coordination of project implementation. This involves extensive liaison with diverse organizational units and external parties to initiate requests, obtain necessary clearances, and follow up on administrative actions. The Project Coordinator will also draft status reports, identify shortfalls in delivery, and suggest corrective measures, ensuring that project objectives are met efficiently and effectively. Additionally, the role includes organizing meetings, workshops, and training sessions, preparing training materials, and participating in capacity-building workshops. The Project Coordinator will respond to complex information requests, maintain files and records, and participate in meetings and conferences, maintaining effective liaison and coordination with local authorities, partners, UN agencies, intergovernmental and non-governmental organizations, donors, and other stakeholders relevant to the project. Monitoring the work of implementing partners and reporting any non-compliance to the supervisor is also a key responsibility, along with providing inputs for the development of Standard Operations Procedures (SOP) and concept papers, and supporting the development of new projects. The Project Coordinator may also supervise other staff as assigned and perform other related duties as required.

Duties and Responsibilities:
  • Assist in the planning, coordination, implementation, and monitoring of project activities.
  • Compile, summarize, analyze, and present information/data on specific project topics, highlighting noteworthy issues for consideration.
  • Monitor budget implementation and propose adjustments as necessary.
  • Act as the focal point for administrative coordination of project implementation, liaising with diverse organizational units and external parties.
  • Draft status reports; identify shortfalls in delivery and suggest corrective measures.
  • Draft correspondence on project issues; prepare and update reports, briefing notes, graphics, statistical tables, and other documentation.
  • Organize meetings, workshops, and training sessions; prepare training materials and participate in capacity-building workshops.
  • Respond to complex information requests and inquiries; set up and maintain files/records.
  • Participate in meetings and conferences; maintain effective liaison and coordination with local authorities, partners, UN agencies, intergovernmental and non-governmental organizations, donors, and other stakeholders. 1
  • Monitor work of implementing partners and report any non-compliance to the supervisor. 1

  • Provide guidance/training and assist in coordinating and monitoring the work of other staff in the unit; may supervise other staff as assigned. 1
  • Perform other related duties as assigned.

Required Qualifications:
  • School diploma with six years of relevant experience; or, Bachelor’s degree in Political or Social Sciences, International Relations, Development Studies, Migration Studies, Human Rights, Law, or related fields from an accredited academic institution with four years of relevant professional experience.
  • Experience in liaising with governmental authorities, national/international institutions, UN agencies, and NGOs.
  • Experience working with migrants, refugees, internally displaced persons, victims of trafficking, and other vulnerable groups.
  • Prior work experience with international humanitarian organizations, non-governmental or government institutions/organizations in a multicultural setting is an advantage.
  • Excellent written and verbal communication and negotiation skills.
  • Strong performance in budget and financial administration; proven resource management skills.
  • Experience with handling confidential data.
  • Excellent academic writing skills.
  • Solid understanding of relevant government, civil society, UN, and private sector actors. 1
  • Proficiency in Microsoft Office applications.

Educational Background:
Candidates must possess either a school diploma with six years of relevant experience or a Bachelor’s degree in Political or Social Sciences, International Relations, Development Studies, Migration Studies, Human Rights, Law, or related fields from an accredited academic institution, along with four years of relevant professional experience. Accredited universities are those listed in the UNESCO World Higher Education Database.

Experience:
The position requires a minimum of four years of relevant professional experience for candidates with a Bachelor’s degree, or six years of relevant experience for those with a school diploma. Candidates should have experience in liaising with governmental authorities, national/international institutions, UN agencies, and NGOs. Experience working with migrants, refugees, internally displaced persons, victims of trafficking, and other vulnerable groups is essential. Prior work experience with international humanitarian organizations or in a multicultural setting is considered an advantage.

Languages:
Fluency in Portuguese and working knowledge of Spanish are required for this position, both oral and written. IOM’s official languages include English, French, and Spanish, and proficiency in these languages will be specifically evaluated during the selection process, which may include written and/or oral assessments.
