Job Overview: The Programme Assistant will play a crucial role in supporting the Programme Team in the development and implementation of effective Women, Peace and Security (WPS) programmes. This position requires a proactive individual who can provide administrative, logistical, and programmatic support to ensure the smooth execution of the programmes. The Programme Assistant will work closely with the Programme Specialist and the Country Program Manager, contributing to the formulation and management of WPS programmes. The role involves preparing work plans, budgets, and proposals, as well as tracking the delivery of funds and ensuring compliance with UN Women rules and regulations. The Programme Assistant will also assist in monitoring and reporting on programme activities, ensuring that all financial and administrative processes are followed accurately and efficiently.
Duties and Responsibilities: The Programme Assistant will be responsible for a variety of tasks including: providing administrative and logistical support for the formulation and management of WPS programmes; assisting in the preparation of programme work plans, budgets, and proposals; tracking the delivery of funds and providing support to executing agencies on routine delivery and reporting of programme activities; supporting the audit of programmes/projects and implementing audit recommendations; gathering and compiling data for the preparation of documents, guidelines, speeches, and position papers; providing administrative support for financial management, including creating projects in Quantum, preparing budget revisions, and processing payments; organizing meetings, workshops, and events; making travel arrangements for the Programme Team; drafting meeting minutes; and facilitating knowledge sharing and training for staff and partners. The Programme Assistant will also perform other duties as necessary for the efficient functioning of the office.
Required Qualifications: Candidates must have completed secondary education, with a Bachelor’s degree in Business or Public Administration considered an asset. The position requires at least 5 years of progressively responsible experience in administrative or programme management/support. Proficiency in using multiple office software packages and experience in a computer environment is essential. Familiarity with Quantum is an asset, as is experience in supporting a team.
Educational Background: The minimum educational requirement for this position is the completion of secondary education. A Bachelor’s degree in Business or Public Administration is preferred and considered an asset, as it provides a foundational understanding of administrative and programmatic functions.
Experience: The Programme Assistant should have a minimum of 5 years of progressively responsible experience in administrative or programme management/support roles. This experience should include working in environments that require the use of multiple office software packages and familiarity with financial management processes. Experience in supporting a team and working collaboratively with various stakeholders is also essential.
Languages: Fluency in English is mandatory for this position. Knowledge of a local language is considered an asset, as it may facilitate communication with local stakeholders. Additionally, knowledge of another UN official working language is advantageous.
