Job Overview: The Programme Assistant plays a crucial role in supporting UNICEF's Global Polio Eradication Initiative (GPEI) in Pakistan, which is one of the last two polio-endemic countries. The position involves providing a broad range of administrative, operational, and procedural support to the polio section under the supervision of the Programme Specialist. The Programme Assistant is responsible for facilitating the implementation, monitoring, and delivery of program results, ensuring that tasks are executed in alignment with UNICEF's rules and regulations. The role may involve supporting multiple program areas or cross-functional initiatives and requires coordination with other sections to achieve effective outcomes. Key functions include program and project support, administrative and financial support, operations and travel support, event coordination, knowledge management, communication, digital dexterity, and emergency support.
Duties and Responsibilities:
Provide administrative support for the polio section, including managing schedules, organizing meetings, and maintaining records.
Assist in the preparation of reports, presentations, and other documentation as required.
Facilitate the implementation of program activities by coordinating with various stakeholders, including government and non-governmental organizations.
Monitor program progress and assist in the evaluation of program outcomes.
Manage travel arrangements for staff and visitors, ensuring compliance with UNICEF policies.
Support financial processes, including budget tracking and expense reporting.
Coordinate events and workshops related to polio eradication efforts.
Maintain knowledge management systems and ensure effective communication within the team and with external partners.
Provide emergency support as needed, demonstrating flexibility and adaptability in response to changing circumstances.
Required Qualifications:
Completion of secondary education is required, with preference for candidates who have pursued technical or university courses related to the field of work.
A minimum of five years of progressively responsible administrative or clerical work experience is required.
Proficiency in using MS Word, Excel, PowerPoint, and other UNICEF software such as SharePoint is essential.
In-depth knowledge of UNICEF's organizational structure, administrative policies, and procedures is necessary.
Strong organizational, planning, and prioritizing skills are required to manage multiple tasks effectively.
Educational Background: Candidates must have completed secondary education, with additional technical or university courses in relevant fields being highly desirable. This educational background will provide the foundational knowledge necessary for the administrative and operational tasks associated with the role.
Experience: The position requires a minimum of five years of progressively responsible experience in administrative or clerical roles. This experience should demonstrate the ability to manage complex tasks, coordinate with various stakeholders, and support program implementation effectively.
