Job Overview: The position of Administrative Support is crucial for the effective functioning of the WHO Country Office in Micronesia. The incumbent will provide essential technical and administrative support to the office, ensuring that the operations align with the organization's objectives. This role involves coordinating various administrative tasks, managing financial transactions, and facilitating communication within the team and with external stakeholders. The Administrative Support will play a key role in monitoring the implementation of country activities, ensuring compliance with established deadlines and budgetary constraints. The position requires a proactive approach to problem-solving and the ability to adapt to the dynamic needs of the office. The successful candidate will be expected to contribute to the overall mission of improving health outcomes in the Federated States of Micronesia, the Republic of the Marshall Islands, and the Republic of Palau.
Duties and Responsibilities: The incumbent will be responsible for a wide range of duties, including but not limited to: administering and coordinating the processing of work products and transactions across program, financial, and administrative areas; reviewing obligating documents and preparing financial reports; monitoring the implementation of country activities according to the approved work plan; supporting the preparation and monitoring of teamwork plans; coordinating human resources administrative tasks, including onboarding and performance evaluations; managing office space and ensuring smooth administrative functions; tracking client support requests and ensuring timely responses; organizing internal and external meetings, including preparing necessary documentation and liaising with participants; maintaining an electronic filing system for technical documents; and ensuring compliance with WHO's administrative procedures and regulations.
Required Qualifications: Candidates must possess a minimum of eight years of progressively responsible work experience in the secretarial or administrative field. Essential qualifications include proficiency in standard office computer software, knowledge of administrative procedures within a United Nations or WHO context, and basic financial accounting skills. The ability to draft routine and non-routine correspondence and reports with proper grammar and style is also required. Candidates should demonstrate strong client relationship management skills and a proactive approach to servicing clients. Relevant experience in WHO or the United Nations system, as well as familiarity with enterprise resource planning systems, is desirable.
Educational Background: The minimum educational requirement for this position is the completion of secondary education. A university degree in business administration, social sciences, or a related field is desirable. Candidates with training in United Nations systems will have an advantage. WHO only considers higher educational qualifications obtained from accredited institutions recognized in the World Higher Education Database (WHED).
Experience: The position requires a minimum of eight years of progressively responsible work experience in administrative or secretarial roles. Experience within the WHO or United Nations system is highly desirable, particularly in relation to enterprise resource planning systems. Candidates should have a proven track record of managing administrative functions effectively and efficiently.
Languages: Expert knowledge of English is essential for this position, along with expert knowledge of the local language. Proficiency in additional languages may be considered an asset but is not mandatory.
Additional Notes: This position is subject to local recruitment and will be filled by candidates from the local commuting area of the duty station. The remuneration package includes an annual net base salary starting at USD 19,555, subject to mandatory deductions for pension contributions and health insurance. Employees are entitled to 30 days of annual leave.
