Job Overview:
The Information Technology Assistant - Common Premises will play a crucial role in providing essential technical support across all segments of IT operations within the UNDP Country Office. This position is vital for ensuring that the Common Premises Unit operates efficiently, securely, and cost-effectively, thereby allowing co-located UN agencies, funds, and programs to focus on their core mandates. The incumbent will be responsible for a variety of IT tasks, including infrastructure management, emergency notification systems, and access control devices. The role requires a client-oriented approach, emphasizing quality and results in service delivery. The Information Technology Assistant will work under the guidance of the ICT Specialist – Common Premises and may also provide remote assistance to staff as per Service Level Agreements (SLAs). This position is integral to maintaining the technological backbone of the organization, ensuring that all IT systems function smoothly and effectively support the UNDP's mission in Iraq.

Duties and Responsibilities:
The duties and responsibilities of the Information Technology Assistant include, but are not limited to:
  • Infrastructure Management: Installing, configuring, maintaining, and troubleshooting network cabling, WiFi access points, and related infrastructure. Assisting with network patching, labeling, and port activation to ensure reliable connectivity. Monitoring and maintaining Uninterruptible Power Supply (UPS) systems, including routine checks and basic troubleshooting. Supporting inventory tracking of IT assets, including cables, WiFi devices, and UPS units. Performing regular inspections and preventive maintenance on all infrastructure components to minimize downtime.
  • Emergency Notification System Services: Supporting the setup and routine testing of emergency notification systems to ensure operational readiness. Updating contact lists and assisting with system drills or real-event notifications. Troubleshooting and resolving issues related to emergency notification hardware and software. Documenting all maintenance activities and incidents related to the emergency notification system.
  • Access Control Devices: Assisting in the installation and maintenance of access control devices, including card readers and door controllers. Performing basic troubleshooting for access control systems. Monitoring system logs and responding to access-related incidents or alerts. Supporting regular testing of access control points and maintaining accurate records of system status and interventions.
  • General Responsibilities: Providing first-line technical support for all assigned systems, responding to user requests and incidents both in-person and remotely. Maintaining clear and detailed records of all technical activities, incidents, and resolutions. Collaborating with IT and facilities teams to support special projects or infrastructure upgrades. Adhering to organizational policies, safety standards, and best practices in all technical operations. Assisting in inventory tracking of IT assets and licenses. Following established incident and change management procedures. Maintaining IT storage areas, labeling, and documentation. Supporting contact updates and testing of emergency notification systems. Assisting in monitoring and maintaining CCTV systems and access control devices. Checking camera feeds and network connectivity. Performing other duties within the functional profile as deemed necessary for the efficient functioning of the office and organization.

Required Qualifications:
The required qualifications for the Information Technology Assistant position include a strong technical background in IT operations, particularly in infrastructure management, emergency notification systems, and access control devices. Candidates should possess excellent problem-solving skills and the ability to work effectively in a team-oriented environment. A client-focused approach is essential, along with the ability to communicate technical information clearly to non-technical users. Familiarity with IT service management frameworks and best practices is highly desirable. The candidate should also demonstrate adaptability and flexibility in responding to changing priorities and demands.

Educational Background:
Candidates for the Information Technology Assistant position should have a relevant educational background, typically including a degree in Information Technology, Computer Science, or a related field. Additional certifications in IT service management, networking, or cybersecurity may be advantageous and demonstrate a commitment to professional development in the IT sector.

Experience:
The position requires a minimum of 1-2 years of relevant experience in IT support or a similar role. Experience in managing IT infrastructure, providing technical support, and working with emergency notification systems and access control devices is highly desirable. Candidates should have a proven track record of successfully resolving technical issues and providing high-quality support to users.

Languages:
Fluency in English is mandatory for this position, as it is the working language of the UN. Knowledge of Arabic is highly desirable, given the local context and the need to communicate effectively with local staff and stakeholders. Additional language skills may be considered an asset, particularly if they enhance communication within the diverse environment of the UN.

Additional Notes:
This position is a national UN Volunteer assignment, meaning that the volunteer will be responsible for arranging their own housing and other living essentials. National UN Volunteers receive a volunteer living allowance to sustain a basic, adequate, and safe lifestyle, which varies depending on local living costs. The monthly Volunteer Living Allowance (VLA) is set at USD 625.9, along with a well-being differential of USD 187.7
  • Volunteers are entitled to annual and learning leaves, medical and life insurance, and free access to various learning platforms. It is important to note that the allowances provided are not considered compensation or salary but are intended to cover basic living costs. The role may require physical activity, including walking to users' locations, lifting equipment, and performing technical repairs in workshops.
