Job Overview:
The Senior Program Assistant (SPA) will play a crucial role in providing high-quality administrative and organizational support to the Africa Program Advocacy & Communication Director, Deputy Director, and their team. This position is essential for ensuring smooth operations within the team and facilitating a range of critical tasks and projects. The SPA will be a core member of the Africa Advocacy team, responsible for representing the leadership in interactions with internal and external partners. The role requires a proactive approach to managing complex calendars, preparing meeting materials, and coordinating logistics for high-level meetings and events. The SPA will also support project management efforts, track timelines, and ensure alignment with regional priorities, making this a dynamic and multifaceted position.

Duties and Responsibilities:
The SPA will manage complex calendars across various time zones, prioritize and schedule numerous appointments, meetings, and travel arrangements. They will collaborate with teams across the foundation to prepare leadership for meetings, including creating agendas and pre-read materials. The role involves providing project management support, coordinating team workloads, and driving the execution of key initiatives. The SPA will also coordinate high-level meetings and events, manage logistics, take meeting notes, and ensure follow-up on action items. Additionally, they will develop briefing materials for leadership engagements, maintain organized files and records, perform basic financial duties, and liaise with stakeholders to support Africa's strategic presence. The SPA will also assist in strategy execution and problem-solving, identifying challenges and recommending solutions to support effective decision-making.

Required Qualifications:
Candidates must possess a bachelor’s degree, with an advanced degree being a plus. Equivalent experience may be considered. A minimum of 5 years of experience supporting senior executives in a fast-paced environment is required. The ideal candidate will have experience in a diplomatic setting, demonstrating good judgment in managing interactions with individuals at all levels, including senior executives. Strong organizational and project management skills, the ability to work autonomously and collaboratively, and a results-oriented mindset are essential. Clear communication skills, both verbal and written, are necessary, along with a bias for collaboration and partnership. Knowledge of the African business environment is desirable, and proficiency in Microsoft Office applications is required.

Educational Background:
A bachelor’s degree is required for this position, with an advanced degree being advantageous. Candidates with equivalent experience may also be considered, indicating that the organization values practical experience alongside formal education.

Experience:
The position requires a minimum of 5 years of experience in supporting senior executives within a complex and fast-paced environment.
