Job Overview: The Project Support Officer plays a crucial role in supporting the Senior Project Manager in coordinating various project activities. This position involves assisting in the scheduling and organization of project meetings, workshops, and activities, ensuring that all timelines and milestones are met. The officer will be responsible for maintaining project calendars and facilitating cross-functional collaboration to ensure that tasks are completed on time. Additionally, the role requires the creation and management of project documentation, including plans, reports, and meeting minutes, ensuring that all documentation is current and accurately reflects the project's status. The Project Support Officer will act as a central point of contact for stakeholders, providing timely updates and facilitating communication between departments to align objectives. Furthermore, the officer will support budget and finance management by tracking expenditures, preparing financial reports, and ensuring compliance with donor requirements. This position is essential for optimizing project execution and fostering collaboration among various stakeholders involved in the project.
Duties and Responsibilities: The Project Support Officer will have a comprehensive set of responsibilities, including:
Project Coordination & Support: - Assist in scheduling and coordinating project activities, meetings, and workshops. - Maintain project calendars and timelines aligned with key milestones. - Support cross-functional collaboration to ensure timely task completion.
Documentation & Communication: - Create and manage project documentation, including plans, reports, and meeting minutes. - Ensure documentation is current, accessible, and accurately reflects project status. - Act as a central point of contact for project stakeholders, providing timely updates. - Facilitate communication between departments to ensure alignment on objectives.
Budget & Finance Management: - Support the development and monitoring of project budgets across Health and Education components. - Track expenditures and ensure alignment with approved allocations and donor requirements. - Assist in preparing financial reports, forecasts, and budget revisions. - Coordinate with Finance to ensure timely submission of official budget change requests. - Maintain financial documentation and ensure compliance with internal and donor policies.
Resource & Stakeholder Engagement: - Assist in resource allocation and scheduling to optimize project execution. - Contribute to stakeholder presentations and financial updates. - Foster collaboration with focal staff, including HD eHealth and ED Project Coordinators, to ensure seamless implementation.
Required Qualifications: Candidates must possess a first university degree from an accredited educational institution in management, administration, business, accounting, engineering, or a related field. Additionally, at least four years of experience in project support and management is required. Experience in the humanitarian sector, UN agencies, or NGOs is also necessary. Proficiency in Microsoft Office, particularly MS Excel, is required. Knowledge of Palestine refugees and/or humanitarian response and development in the Middle East is desirable, along with experience in report and business writing. Excellent command of spoken and written English and Arabic is mandatory.
Educational Background: The educational requirement for this position is a first university degree from an accredited institution in a relevant field such as management, administration, business, accounting, or engineering. This educational background is essential to ensure that the candidate possesses the necessary theoretical knowledge and skills to perform the duties associated with the Project Support Officer role effectively.
Experience: The position requires a minimum of four years of relevant work experience in project support and management. Knowledge of French is considered an asset but is not mandatory for this role.
Additional Notes: The position is offered as a Limited Duration Contract (LDC), Band F, initially for one year, with the possibility of extension based on performance and funding availability. The monthly basic salary for this position is JD 1,057.7
Additional benefits include compulsory medical insurance, 30 days of annual leave, and a dependency allowance if applicable. Employees are entitled to two days of sick leave for each complete month of service and 12 weeks of maternity leave. This job opening is available to both internal and external candidates, but only those residing in Jordan and authorized to work in the duty station at the time of application are eligible. The agency will not facilitate work permits, and candidates must be prepared to work outside normal duty hours if required. Preference will be given to registered Palestine refugees and candidates who can assist the agency in achieving gender parity.
