Job Overview: The Executive Assistant position is a vital role within the EBRD's Constituency Office, which is part of a larger structure that includes 23 Constituency Offices representing 77 shareholders. The Executive Assistant will report directly to the Director and will also provide support to the Alternate Director. This role is essential for ensuring the smooth operation of the office, which includes managing administrative tasks, coordinating meetings, and facilitating communication with various stakeholders. The Executive Assistant will be expected to handle a variety of tasks that require a high level of organization and attention to detail, as well as the ability to interact with government officials and other representatives from the Constituency. This position offers an opportunity to work in a dynamic environment where the individual can contribute to the overall effectiveness of the office and the EBRD's mission.
Duties and Responsibilities: The Executive Assistant will be responsible for a wide range of administrative and secretarial duties, including but not limited to: providing comprehensive administrative support to both the Director and Alternate Director; managing the office's daily operations; organizing and scheduling meetings, both internal and external; handling travel arrangements and hotel bookings; processing visa applications as necessary; maintaining accurate expense records for budgetary purposes; typing and drafting reports, correspondence, and memoranda; distributing Board documents and other materials; monitoring communications with capitals to ensure Constituency needs are met; overseeing the office budget; preparing for Annual Meetings and other significant events; maintaining an effective filing system; and performing any other ad-hoc administrative tasks as required.
Required Qualifications: Candidates must possess proven secretarial or administrative experience, with a strong understanding of the EBRD's operations and a track record of excellent performance. A degree or equivalent relevant business experience is required. The ideal candidate will have exceptional organizational skills, the ability to work independently, and a strong proficiency in typing (minimum 55 words per minute). Candidates should be computer literate, with proficiency in Microsoft Outlook, Word, Excel, PowerPoint, SAP, and Teams. Excellent written and verbal communication skills are essential, along with experience in dealing with institutions and the business community. Diplomatic skills and experience in protocol are necessary for managing relationships with authorities and stakeholders in a multicultural environment.
Educational Background: A degree in business administration, management, or a related field is preferred. Equivalent relevant experience may also be considered in lieu of formal education. Candidates should demonstrate a strong understanding of business practices and administrative procedures.
Experience: The position requires candidates to have a solid background in administrative support roles, ideally within an international or multicultural organization. Experience in dealing with high-level officials and managing complex schedules is highly desirable. Candidates should be able to demonstrate their ability to adapt to changing environments and respond positively to new challenges.
Languages: Fluency in English, both written and spoken, is mandatory for this position. Proficiency in Japanese is considered an advantage but is not a requirement.
