Job Overview: The Regional Human Resource Associate plays a crucial role in supporting the Regional HR Business Partner in managing recruitment processes and various HR functions within the organization. This position involves coordinating recruitment activities, providing guidance to hiring managers, and ensuring compliance with organizational policies and procedures. The associate will be responsible for drafting and posting vacancy notices, screening applications, conducting interviews, and preparing job offers. Additionally, the role includes managing pre-employment activities, maintaining personnel records, and ensuring data accuracy in HR systems. The associate will also assist in organizing HR events, providing information to staff regarding their entitlements, and monitoring compliance with performance evaluation processes. This position requires a proactive approach to identifying areas for improvement and contributing to the development of new procedures that meet the specific needs of the office.
Duties and Responsibilities:
Assist in the coordination of recruitment processes, including drafting position descriptions, posting vacancy notices, and screening applications.
Participate in interview panels and conduct reference checks.
Prepare job offers and manage the recruitment mailbox.
Support pre-employment activities, including the preparation of Entry on Duty documentation and coordination of medical exams.
Maintain data accuracy in HR systems and generate reports related to personnel actions.
Monitor leave quotas and respond to inquiries regarding leave administration.
Prepare documentation for separation, classification, and promotion processes.
Organize HR events and training activities.
Provide guidance to staff on entitlements and responsibilities. 1
Assist in analyzing sensitive cases and monitor compliance with performance appraisal systems. 1
Participate in inter-agency HR working groups and provide training to new staff.
Required Qualifications:
High school diploma with five years of relevant experience, or a Bachelor’s degree in Human Resources, Business Administration, Psychology, or a related field with three years of relevant professional experience.
Proficiency in Microsoft Office applications, including Word, Excel, and PowerPoint.
Previous experience with SAP is an advantage.
Strong attention to detail and organizational skills.
Ability to work discreetly and maintain confidentiality.
Experience in international humanitarian organizations or multi-cultural settings is preferred.
Educational Background: Candidates must possess at least a high school diploma with five years of relevant experience or a Bachelor’s degree in a related field from an accredited institution, accompanied by three years of professional experience in human resources or a similar area. This educational background ensures that candidates have the foundational knowledge and skills necessary to perform effectively in the role.
Experience: Candidates should have a minimum of three years of relevant professional experience in human resources or a related field. Experience working with international humanitarian organizations or in a multi-cultural environment is highly desirable. Proficiency in Microsoft Office applications is essential, and familiarity with HR management systems such as SAP is considered a distinct advantage. The ability to manage multiple tasks and maintain attention to detail is crucial for success in this position.
Languages: Fluency in Arabic and English is mandatory for this position, both oral and written. A working knowledge of French is desirable, as it may enhance communication within the organization and with external partners. Proficiency in the official languages of the organization, which include English, French, and Spanish, is expected for staff members in this role.
Additional Notes: This position is a temporary replacement for a duration of six months only. The role is classified under the General Service category, and candidates should be prepared for a full-time commitment.
