Job Overview: The Administrative and Logistics Clerk position is a vital role within the UNDP/PAPP, specifically designed to support the Access coordination-team" style="border-bottom: 1px dotted #007bff !important;">Coordination Team based in Jerusalem. The incumbent will work under the guidance of the Access Coordination Assistant, providing essential administrative and logistical support to ensure the efficient functioning of the Access and Logistic Office Team. This role involves a variety of tasks aimed at facilitating the entry of coordinated materials into Gaza, managing logistics services, and maintaining accurate records of assets and inventory. The position requires a proactive approach to problem-solving and effective communication skills to navigate the complexities of logistics and administrative processes in a challenging environment. The successful candidate will be expected to contribute to the overall mission of UNDP by ensuring that all logistical operations are conducted in compliance with UNDP rules and regulations, thereby supporting the broader goals of the organization in the region.
Duties and Responsibilities: The duties and responsibilities of the Administrative and Logistics Clerk include:
Providing administrative and logistical support to the Access and Logistic Office Team, ensuring efficient functioning of all administrative aspects.
Assisting in the preparation of proposal packages and uploading requests for approval for materials on various platforms.
Supporting the effective entry of coordinated materials into Gaza by utilizing necessary tools and communication methods.
Updating assets and inventory data using electronic asset systems and tracking adjustments as needed.
Supporting the Procurement Unit by raising requisitions, creating receipts, and providing necessary services.
Maintaining the internal filing and archiving system for all relevant documents.
Assisting in preparing customs exemption requests to the Israeli customs department, ensuring compliance with UNDP regulations.
Supporting the Access Coordination and Logistic Officer in vehicle registrations for international staff members and other UN agencies.
Compiling required documents for 2720/COGAT applications and obtaining necessary approvals. 1
Performing any other duties as required by the supervisor to ensure the efficient functioning of the Office and the Organization.
Required Qualifications: The position requires candidates to possess strong organizational skills, attention to detail, and the ability to work effectively in a team environment. Candidates should demonstrate adaptability and flexibility in their approach to tasks, as well as creativity in problem-solving. Professionalism and self-management are essential, along with the ability to make sound judgments and decisions. The role demands a proactive attitude towards planning and organizing tasks to meet deadlines and achieve objectives.
Educational Background: Candidates should have a minimum of a secondary education diploma. A higher education degree in a relevant field such as business administration, logistics, or public administration is preferred. Additional training or certifications in logistics or supply chain management would be advantageous.
Experience: Candidates should have at least 1-2 years of relevant experience in administrative support, logistics, or a related field. Experience working in an international organization or within the UN system is highly desirable. Familiarity with the operational context in the Palestinian Territory and understanding of UNDP's mission and objectives will be beneficial.
Languages: Fluency in Arabic is mandatory, while proficiency in English is highly desirable. Knowledge of Hebrew would be an asset, as it may facilitate communication with various stakeholders in the region.
Additional Notes: This position is a national UN Volunteer assignment, and the incumbent will be responsible for arranging their own housing and living essentials. The contract duration is for 6 months, with the possibility of extensions based on funding availability, operational necessity, and satisfactory performance. A Volunteer Living Allowance (VLA) of ILS 6800 is provided monthly to cover housing, utilities, and normal living expenses. The position includes life, health, and permanent disability insurance, as well as health insurance for up to three dependents and an exit allowance for satisfactory service.
