Job Overview:
The Executive Assistant position is a crucial role within the Office of the Treasurer at ADB, where the successful candidate will provide comprehensive administrative support to the Treasurer and Deputy Treasurer. This role involves managing a variety of administrative tasks that are both responsible and confidential in nature. The Executive Assistant will be responsible for coordinating inter-departmental activities, managing calendars, organizing meetings, and ensuring that all administrative operations run smoothly. The position requires a proactive approach to managing the schedules of senior staff, preparing reports, and facilitating communication within the department and with external stakeholders. The Executive Assistant will also play a key role in organizing events and knowledge-sharing projects, making it essential for the candidate to possess strong organizational and communication skills.

Duties and Responsibilities:
The duties and responsibilities of the Executive Assistant include managing reception services, screening calls, handling inquiries, and coordinating with visitors. The candidate will assess and prioritize requests, ensuring timely referrals to appropriate staff. They will manage the calendars of the Head of Department (HoD) and Deputy, organizing meetings, appointments, and travel arrangements according to ADB's mission travel procedures. The Executive Assistant will consolidate inputs and prepare reports, including meeting minutes and correspondence, while also maintaining filing systems and ensuring office supplies are stocked. They will coordinate with the Office of the Secretary on Annual Meeting tasks and provide guidance to junior staff on procedures. Additionally, the Executive Assistant will act as a backup to the Treasury Officer and perform other tasks as assigned.

Required Qualifications:
Candidates must possess a Bachelor's degree in Finance, Accounting, Business Administration, or a related field. A minimum of 5 years of work experience in treasury or financial institutions is required. Proficiency in written and verbal English is mandatory, along with advanced skills in MS Office 365 applications, including Outlook, Word, Excel, PowerPoint, and SharePoint. Familiarity with corporate videoconferencing tools such as MS Teams and Zoom is also necessary. The ideal candidate should have experience working independently and collaborating with individuals from diverse cultural and national backgrounds.

Educational Background:
The educational background required for this position includes a Bachelor's degree in a relevant field such as Finance, Accounting, Business Administration, or a closely related discipline. This educational foundation is essential for understanding the financial and administrative functions that the Executive Assistant will support within the Treasury Department.

Experience:
The position requires at least 5 years of relevant work experience in treasury or financial institutions. This experience should demonstrate the candidate's ability to handle complex administrative tasks, manage schedules, and coordinate activities effectively within a financial context. Experience in a similar role within an international organization or development finance institution would be advantageous.

Languages:
Proficiency in English is mandatory for this position, as the role involves extensive written and verbal communication. While English is the primary language required, knowledge of additional languages may be considered an asset, particularly if they are relevant to ADB's member countries or operational regions.

Additional Notes:
This is a fixed-term appointment with the option to renew, initially for a period of up to 3 years or until the Normal Retirement Date (NRD), whichever comes first. After the initial term, ADB may choose to renew the appointment for an additional 3 years based on various factors, including the staff's performance and the organizational needs.
