Job Overview: The HR Assistant position is a vital role within the UNDP Pacific Office's Operations Team, which is responsible for providing comprehensive support services related to finance, procurement, human resources, digital services, travel, and logistics. The HR Assistant will work under the direct supervision of the Human Resources Analyst, ensuring the execution of transparent and efficient HR support for the UNDP Pacific Office in Fiji. This role involves close collaboration with operations, program, and project staff to resolve HR-related issues and facilitate information exchange. The HR Assistant will play a key role in implementing HR strategies and policies, ensuring compliance with UNDP regulations, and supporting the overall HR functions within the organization.
Duties and Responsibilities: The HR Assistant will be responsible for a variety of tasks, including but not limited to: supporting the administration and implementation of HR strategies and policies; ensuring compliance of records and reports with UN rules and regulations; providing HR services such as document verifications, recruitment processes, and contract preparations; maintaining proper filing systems for HR records; supporting knowledge building and sharing within the MCO; conducting training sessions for staff on HR issues; and assisting in the collection of information for UN-related surveys. The HR Assistant will also perform other duties as necessary for the efficient functioning of the office and the organization.
Required Qualifications: Candidates must possess either a secondary education with specialized certification in HR, Operations, Administration, Business, or a related field, or a Bachelor’s University Degree in HR, Finance, Business, or Public Administration. Additionally, candidates should have experience in using office software packages, handling web-based management systems, and managing HR processes such as performance management and recruitment. Excellent communication skills are essential, as the HR Assistant will be required to communicate effectively with personnel both internally and externally.
Educational Background: The educational background required for this position includes a secondary education with specialized certification in HR or a related field, or a Bachelor’s degree in HR, Finance, Business, or Public Administration. Professional HR certification(s) are considered an advantage, enhancing the candidate's qualifications for the role.
Experience: The level of experience required varies based on educational background. Candidates with a High School Diploma should have at least 5 years of progressively responsible HR and/or administrative experience at the national or international level. Those with a Bachelor’s Degree are required to have a minimum of 2 years of relevant experience in HR and/or administrative roles.
Languages: Fluency in English is mandatory, along with proficiency in Itaukei and/or Fiji Hindi. These language skills are essential for effective communication within the organization and with external stakeholders.
