Job Overview:
The Technical Administration Assistant plays a crucial role in supporting the administrative functions of the NRC's East Area Office (EAO) in Dnipro, Ukraine. This position involves a variety of clerical and administrative tasks aimed at ensuring the smooth operation of the office and facilities. The assistant will be responsible for adhering to NRC policies and guidelines while assisting managers and staff with day-to-day office tasks. The role requires effective resource management and the ability to identify potential risks and gaps in administrative processes. The assistant will also be involved in maintaining the NRC premises, preparing status reports, and promoting improvements in administrative functions. This position is essential for maintaining the operational efficiency of the NRC in the region and ensuring that the needs of international staff and the office are met.

Duties and Responsibilities:
The Technical Administration Assistant will have a comprehensive set of duties and responsibilities, including but not limited to: assisting in the issuance of temporary residence permits and registrations for international staff, organizing minor repairs and maintenance of staff accommodations, searching for office premises and guesthouses, ensuring the functionality of appliances and utilities, maintaining cleanliness and organization in guesthouses and offices, managing necessary purchases for office supplies, tracking contracts for the administrative unit, processing payments in a timely manner, organizing workshops and team-building events, coordinating business trips for EAO employees, managing postal services, and handling cash advances for the administrative unit. The assistant will also be expected to perform any other work-related duties assigned by the line manager, demonstrating flexibility and a willingness to support the team as needed.

Required Qualifications:
Candidates for the Technical Administration Assistant position should possess a bachelor's degree in a relevant field. Experience working in a support function within a humanitarian or recovery context is considered a strong asset. Previous experience in complex and volatile environments is highly desirable. Candidates must demonstrate good written and spoken English, as well as fluency in both written and spoken Ukrainian. Proficiency in computer literacy, particularly with MS Office, is essential. Additionally, candidates should exhibit strong analytical skills, organizational abilities, team working skills, cultural awareness, and sensitivity. A proven ability to plan and implement tasks effectively is also important, along with a motivation to learn and grow within the role.
