Job Overview:
The People and Culture Project Associate position is part of the Staff Support Strategy for the HQ Efficiency Initiative (HQEI) and is located in Budapest within the Division of People and Culture (DPC). The role involves providing administrative, financial, procedural, and operational support to the Staff Support Unit (SSU). The Associate will report to the People and Culture Manager and will be responsible for ensuring a people-centric approach in the services provided across all divisions. Key functions include maintaining dashboards, tracking service requests, managing documentation, and contributing to effective communication and knowledge management. The Associate will also coordinate learning and career development events, manage logistical arrangements, and provide scheduling support to senior staff. Additionally, the role involves monitoring project budgets, preparing financial reports, and generating insights to support decision-making and enhance staff engagement during the HQ transition process.

Duties and Responsibilities:
  • Provide administrative support to the Staff Support Unit, ensuring consistency in service delivery across divisions.
  • Maintain dashboards and track service requests to ensure timely case management.
  • Prepare reports, presentations, and briefing materials for effective communication.
  • Manage the SSU SharePoint site and compile lessons learned.
  • Coordinate learning and career development events, including logistical arrangements.
  • Provide scheduling support to senior staff and assist in project management tasks.
  • Monitor project budgets and prepare financial reports.
  • Generate insights to support informed decision-making and efficient resource utilization.

  • Collaborate with various stakeholders to enhance staff engagement throughout the HQ transition process.

Required Qualifications:
  • Completion of secondary education, preferably supplemented by technical or university courses related to HR, Administration, or a related field.
  • At least 6 years of relevant work experience in Human Resources, Administration, Staff Support, Budget Management, Event Coordination, Data Analytics, Communication, Knowledge Management, Project Management, or related fields.
  • Proficiency in Excel and PowerPoint, with strong organizational and planning skills.
  • Knowledge of HR and administrative principles within the UN is preferred.
  • Ability to maintain confidentiality, demonstrate initiative, and exercise good judgment.
  • Excellent interpersonal skills to work effectively with diverse teams.

Educational Background:
The position requires completion of secondary education, with a preference for candidates who have pursued technical or university courses related to Human Resources, Administration, or other relevant fields. This educational background is essential to understand the principles and practices necessary for effective support in the role.

Experience:
Candidates must have a minimum of 6 years of relevant work experience in areas such as Human Resources, Administration, Staff Support, Budget Management, Event Coordination, Data Analytics, Communication, Knowledge Management, and Project Management. This level of experience is crucial for the candidate to effectively manage the responsibilities associated with the People and Culture Project Associate role.

Languages:
Fluency in English is required for this position. Knowledge of another official UN language (Arabic, Chinese, French, Russian, or Spanish) is considered a desirable asset. Proficiency in additional languages can enhance communication and collaboration within the diverse UNICEF workforce.
