Job Overview: The position of Consultant for E-Commerce and Publications Sales is situated within the Revenue and Product Management (RPM) Section of ICAO's Technical Cooperation Bureau (TCB). This role is pivotal in supporting the organization's revenue-generating activities, which are essential for promoting ICAO's Strategic Objectives. The consultant will provide administrative and operational support to the E-Commerce and Publications Sales (ECP) team, focusing on maintaining efficient customer service, order processing, and payment tracking. The consultant will be involved in various aspects of the e-commerce platform, ensuring that ICAO's publications and products are effectively sold and distributed. This position requires a proactive approach to problem-solving and a commitment to enhancing customer satisfaction through effective communication and operational support.
Duties and Responsibilities: The consultant will be responsible for several key functions: 1) Order and Payment Support: This includes reviewing and monitoring bank transfer and cheque payments daily, processing and validating orders, investigating payment issues, and supporting reconciliation activities with Finance and Accounts Receivable. 2) Customer Service and Communication: The consultant will respond to customer service emails, provide product and order information, and ensure high standards of customer satisfaction. 3) Operational and Administrative Support: Maintaining product and customer data accuracy in the e-commerce platform, preparing order and revenue reports, and performing routine updates and reconciliations. 4) Collaboration and Process Improvement: Participating in team meetings, documenting workflows, providing feedback on process bottlenecks, and supporting onboarding efforts. 5) Other Duties as Assigned: Performing additional related duties to support the ECP team’s efficient operation, including administrative and logistical tasks as required.
Required Qualifications: Candidates must have completed secondary education and possess a college diploma (DEC) or equivalent in business administration, e-commerce, accounting, customer service, or a related field. Additional coursework or certification in online e-commerce operations, finance, or customer relationship management (CRM) is desirable. Essential qualifications include at least 18 months of relevant experience in administrative, e-commerce, or customer service functions, proficiency in Microsoft Office 365 applications, familiarity with online ordering systems, and strong attention to detail. Good communication and organizational skills with a customer-focused mindset are also essential. Desirable qualifications include experience with Adobe Commerce (Magento) or similar platforms, knowledge of ERP or financial systems, and prior experience in a UN or international organization environment.
Educational Background: The educational background required for this position includes the completion of secondary education and a college diploma (DEC) or equivalent in fields such as business administration, e-commerce, accounting, or customer service. Additional coursework or certification in online e-commerce operations, finance, or customer relationship management (CRM) is considered an asset and may enhance a candidate's suitability for the role.
Experience: The position requires at least 18 months of relevant experience in administrative, e-commerce, or customer service functions. Candidates should demonstrate proficiency in Microsoft Office 365 applications, particularly Outlook, Excel, and Word, and should be comfortable working with online platforms and databases. Familiarity with online ordering systems, payment tracking, or CRM tools is essential, along with strong attention to detail and the ability to manage repetitive tasks accurately and efficiently. Experience in a UN or international organization environment is desirable but not mandatory.
Languages: Fluent reading, writing, and speaking abilities in English are essential for this position. A working knowledge of any other language of the Organization, such as Arabic, Chinese, French, Russian, or Spanish, is considered desirable and may provide an advantage in communication with diverse stakeholders.
Additional Notes: This position is to be filled for a period of 11 months, with a total monthly salary ranging from CAD 3991 to CAD 517
The consultant will be required to work on-site at ICAO Headquarters in Montreal for a minimum of three days per week. During the initial onboarding and training period, which lasts up to two months, the consultant is expected to work on-site five days per week. After successful completion of the onboarding period and subject to satisfactory performance and operational requirements, a hybrid work arrangement may be approved. It is important to note that ICAO does not charge any fees or request money from candidates at any stage of the selection process.
