Job Overview: The People & Culture (P&C) Associate plays a crucial role in providing operational support for core P&C functions within the Guatemala country office. This position encompasses a wide range of responsibilities including recruitment coordination, onboarding processes, benefits administration, employee data management, and ensuring compliance with organizational policies. The P&C Associate will work closely under the supervision of a People and Culture Partner, contributing to the overall efficiency and effectiveness of the P&C services. The role requires a proactive approach to managing employee relations and supporting the organizational culture, ensuring that all P&C functions align with FHI 360's mission and values. The P&C Associate will also be responsible for maintaining accurate HRIS data and assisting with payroll processing, thereby playing a vital role in the operational backbone of the organization.
Duties and Responsibilities: The P&C Associate will be responsible for a comprehensive set of duties including: coordinating end-to-end recruitment processes such as posting vacancies, screening candidates, scheduling interviews, and conducting reference checks; maintaining and updating HRIS data to ensure accuracy and completeness; assisting in payroll and benefits processing while liaising with vendors as necessary; supporting employee onboarding and offboarding processes; coordinating learning activities and training sessions for project staff; providing first-line responses to employee inquiries regarding P&C policies and benefits; assisting with compliance reporting and documentation for audits; resolving routine P&C issues independently while escalating complex matters as needed; contributing to the overall efficiency and accuracy of P&C services; supporting procurement and logistics efforts in coordination with the Program Manager; and demonstrating strong attention to detail and data accuracy throughout all tasks.
Required Qualifications: Candidates must possess a strong working knowledge of P&C procedures and Guatemalan employment regulations. They should demonstrate strong organizational and computer skills, as well as interpersonal and negotiation skills. The ability to handle confidential information appropriately is essential, along with the capability to communicate in a clear and professional manner. Additionally, candidates should be able to work independently and collaboratively within a team environment, showcasing adaptability and problem-solving skills in various situations.
Educational Background: A Bachelor’s degree in human resources, business administration, or a related field is preferred for this position. This educational background provides the foundational knowledge necessary for understanding the complexities of human resources management and organizational behavior, which are critical for the role of P&C Associate.
Experience: The ideal candidate should have 1 to 3 years of experience in P&C or human resources, preferably within an international non-governmental organization (INGO) or a similar environment. This level of experience ensures that the candidate is familiar with the challenges and nuances of working in a diverse and dynamic organizational setting, particularly in relation to human resources functions.
Languages: Fluency in both Spanish and English is mandatory for this position, as the P&C Associate will be required to read, write, and speak in both languages effectively. This bilingual capability is essential for communication with staff and stakeholders in Guatemala and for ensuring compliance with organizational policies. Proficiency in additional languages may be considered an asset but is not required.
