Job Overview: The Office Manager position at EBRD in Sofia is a critical role that ensures the smooth and strategic operations of the Technology Services division. This position requires a proactive and detail-oriented individual who can manage various aspects of office management, including property oversight, finance, human resourcescoordination, security" style="border-bottom: 1px dotted #007bff !important;">security, and institutional liaison. The Office Manager will be responsible for creating an environment where tech teams can thrive, ensuring that all operational needs are met efficiently. This role blends multiple functions, requiring strong organizational skills, the ability to communicate effectively, and a high level of professionalism. The Office Manager will also provide executive support to management and other employees, which includes drafting official correspondence and managing administrative tasks.
Duties and Responsibilities: The Office Manager will oversee several key areas:
Office & Property Oversight: Manage facilities, inventory, equipment, and vehicles, and liaise with landlords and vendors for maintenance and refurbishments.
Finance & Budgeting: Prepare and monitor budgets, process expenses, reconcile accounts, and ensure accurate financial reporting to headquarters.
HR Coordination: Support the onboarding process, manage accreditation, and handle medical registrations for staff.
Security & Continuity: Act as the local security focal point, maintain the Business Continuity Plan, and participate in UN Security Plan events.
Institutional Liaison: Coordinate with Tech Sofia and HQ units on procurement, contracts, insurance, and strategic updates.
Team Supervision: Lead general services staff, manage workloads, and provide performance feedback and training.
Executive Support: Provide high-level administrative support to management and other employees, including drafting official correspondence and managing schedules.
Required Qualifications: Candidates must have proven experience in office management or administrative roles, ideally within an international or leading local company. Strong organizational and communication skills are essential, along with the ability to lead with confidence and discretion. High integrity and professionalism are required, as well as a calm approach under pressure. A proactive mindset and collaborative spirit are also important for success in this role.
Educational Background: A relevant educational background is necessary for this position, ideally in business administration, management, or a related field. Candidates should possess a strong understanding of office management principles and practices, as well as familiarity with financial management and human resources processes.
Experience: The ideal candidate should have several years of experience in office management or administrative roles, with a preference for experience in an international organization or a leading local company. Experience in managing teams and overseeing operational functions is highly desirable.
Languages: Fluency in English, both written and spoken, is mandatory for this position. Additional language skills may be considered an asset, particularly if they relate to the regions in which EBRD operates.
Additional Notes: This is a full-time, on-site role based at the EBRD office in Sofia, Bulgaria. The contract is fixed-term for a duration of three years.
