FHI 360's Crisis Response team has been actively involved in humanitarian efforts in Northern Ethiopia and is now expanding its operations to Eastern Ethiopia, specifically the Somali Region, in collaboration with the Pastoralist Concern Organization, a national entity based in Ethiopia.
Job Overview: The Logistics Assistant plays a crucial role in managing the day-to-day logistics operations of the field office. This position encompasses a variety of responsibilities including procurement activities, fleet management, and warehouse management, all of which are essential for the smooth functioning of programmatic activities. The Logistics Assistant will primarily focus on the daily movement of vehicles, minor procurement tasks at the field office, and the management of warehousing operations. The position requires close collaboration with the Senior Logistics Officer at the Shire field office, ensuring that all logistics needs are met efficiently and effectively. The role is vital in supporting the overall mission of FHI 360 in delivering humanitarian assistance and improving the health and well-being of conflict-affected populations in Ethiopia.
Duties and Responsibilities: The Logistics Assistant will be responsible for a comprehensive set of duties including:
Fleet Management: Planning monthly transportation activities, monitoring vehicle movements, ensuring proper documentation is maintained, and ensuring vehicles are roadworthy and compliant with safety standards.
Procurement Management: Completing procurements according to established procedures, liaising with senior logistics and finance personnel, preparing purchase orders, and maintaining vendor databases.
Warehouse Management: Checking the quality and quantity of goods received, organizing and storing goods, preparing outgoing shipments, and maintaining accurate stock records.
Reporting: Keeping detailed records of all logistics activities, including procurement and inventory management, and providing regular updates to management and program teams.
Compliance: Ensuring adherence to FHI 360’s procurement policies and legal requirements, and maintaining a high standard of operational integrity.
Required Qualifications: The ideal candidate for the Logistics Assistant position should possess the following qualifications:
A degree in Procurement and Logistics or a related field.
1-2 years of experience in logistics within an office setting, preferably in a non-governmental organization (NGO).
Familiarity with donor-funded procurement rules and regulations is advantageous.
Strong organizational skills and attention to detail.
Ability to work collaboratively in a team environment and communicate effectively with various stakeholders.
Educational Background: Candidates should have a degree in Procurement and Logistics or a related field. Vocational training in logistics management or a similar discipline is also acceptable. Educational qualifications should reflect a solid understanding of logistics principles and practices, particularly in a humanitarian context.
Experience: The position requires 1-2 years of relevant experience in logistics, preferably within an office environment. Experience in a non-governmental organization (NGO) is desirable but not mandatory. Candidates should demonstrate a practical understanding of logistics operations, including procurement, fleet management, and warehouse management.
Languages: Fluency in the local language is mandatory, while a basic proficiency in English is also required. Additional language skills may be considered an asset, particularly if they enhance communication with local stakeholders and partners.
