FHI 360's Crisis Response team has been actively involved in humanitarian efforts in Northern Ethiopia, focusing on integrated health, nutrition, WASH, and protection programs to support conflict-affected populations. The organization is now expanding its reach to Eastern Ethiopia, collaborating with the Pastoralist Concern (PC) Organization, a national entity based in Ethiopia.

Job Overview:
The Logistics Assistant plays a crucial role in managing the day-to-day logistics operations of the field office. This position is primarily responsible for overseeing procurement activities, fleet management, and warehouse management, ensuring that all logistics needs related to programmatic activities are met efficiently. The Logistics Assistant will support the daily movement of vehicles, handle minor procurement tasks at the field office, and manage warehousing operations. The position requires close collaboration with the Senior Logistics Officer at the Woldia field office, ensuring that all logistics processes align with organizational standards and procedures. The Logistics Assistant will also be involved in planning transportation activities, monitoring vehicle movements, and ensuring compliance with legal and safety standards for all vehicles used in operations.

Duties and Responsibilities:
The Logistics Assistant will be responsible for a variety of key tasks, including:
  • Fleet Management: Planning monthly transportation activities, monitoring vehicle movements, ensuring proper documentation and reporting of incidents, maintaining vehicle logs, and ensuring all vehicles are clean, roadworthy, and compliant with safety standards.
  • Procurement Management: Completing procurements according to established procedures, liaising with senior logistics and finance staff, obtaining quotations, preparing purchase orders, negotiating with vendors, and maintaining accurate records of all procurement activities.
  • Warehouse Management: Checking the quantity and quality of goods received, updating stock cards, organizing and storing goods, preparing outgoing shipments, monitoring stock levels, and maintaining an asset register. The Logistics Assistant will also be responsible for ensuring timely disposal of damaged items and contributing to inventory reports.

Required Qualifications:
The ideal candidate for the Logistics Assistant position should possess the following qualifications:
  • A degree in Procurement and Logistics or a related field.
  • 1-2 years of experience in logistics within an office setting, preferably in a non-governmental organization (NGO).
  • Familiarity with donor-funded procurement rules and regulations is advantageous.
  • Strong organizational skills and attention to detail, with the ability to manage multiple tasks effectively.
  • Proficiency in using logistics management software and tools.

Educational Background:
Candidates should have a degree in Procurement and Logistics or a related field. Vocational training in logistics management is also considered beneficial. The educational background should provide a solid foundation in logistics principles, procurement processes, and supply chain management.

Experience:
The position requires 1-2 years of relevant experience in logistics, preferably in an office environment. Experience in a non-governmental organization (NGO) is desirable but not mandatory. Candidates should demonstrate a strong understanding of logistics operations, procurement processes, and fleet management.

Languages:
Fluency in the local language is mandatory, with basic proficiency in English considered an asset. The ability to communicate effectively in both languages will facilitate collaboration with local vendors and stakeholders.
