Job Overview: The position of Administrative and Finance Support at UNESCO MGIEP involves providing comprehensive administrative and financial assistance to ensure the smooth operation of various projects and activities. The incumbent will work under the authority of the Director and the direct supervision of the Senior National Finance & Administrative Officer. Key functions include managing administrative actions, supporting travel arrangements, preparing correspondence, organizing official events, and maintaining a coherent filing system. The role requires effective communication with external partners and the ability to handle a variety of administrative tasks while ensuring compliance with UNESCO's policies and procedures. The position is crucial for facilitating the implementation of programs aimed at promoting peace and sustainable development through education.
Duties and Responsibilities: The duties and responsibilities of the Administrative and Finance Support position include:
Providing administrative and financial support to the program and administrative division, ensuring efficient operation of projects.
Initiating, processing, reviewing, and following up on administrative actions, ensuring compliance with applicable standards.
Assisting staff with travel plans, making arrangements, preparing travel requisitions, and monitoring budgets.
Drafting and finalizing routine and non-routine correspondence, ensuring accuracy and compliance with standards.
Planning and organizing official events, including meetings and conferences, managing logistics, and preparing materials.
Establishing and maintaining a coherent filing system, ensuring confidentiality and accuracy.
Facilitating communication with external partners, including government officials and donors.
Providing administrative support in preparing contracts and monitoring vendor payments.
Strong analytical skills and attention to detail, with the ability to manage multiple tasks effectively.
Excellent drafting skills and the ability to communicate effectively in a multicultural environment.
Demonstrated interpersonal skills, tact, and diplomacy in handling sensitive situations.
Educational Background: Candidates should possess a secondary education, ideally complemented by specialized training or certification in administration, finance, or accounting. A university degree is desirable, as well as any additional specialized training in relevant fields.
Experience: Candidates must have a minimum of 8 years of relevant experience in program administration and finance, ideally within an international organization or development body. Experience in providing administrative support at the international level, particularly within the United Nations system, is highly valued.
Languages: Fluency in Hindi and excellent command of English, both oral and written, are mandatory for this position. Knowledge of other UNESCO official languages such as Arabic, Chinese, French, Spanish, and Russian is considered an asset and is desirable for candidates.
Additional Notes: This position is a non-staff contract with a standard duration of one year, which is renewable based on performance and funding availability. The role is open to Indian nationals or those authorized to work in India. The monthly base salary for this position is INR 93,107, which is negotiable and subject to taxation. Benefits may include 30 days of annual leave, medical insurance reimbursement, and a pension plan.
