FHI 360's Crisis Response team is actively involved in humanitarian efforts in regions affected by conflict, such as Tigray, Amhara, Afar, and Somali Regions, focusing on integrated health, nutrition, WASH (Water, Sanitation, and Hygiene), and protection projects to meet the urgent needs of affected populations. The organization is currently expanding its humanitarian response efforts to the Amhara Region, specifically in Lalibela, Ethiopia, to further assist those impacted by the ongoing crisis.
Job Overview: The logistics-officer" style="border-bottom: 1px dotted #007bff !important;">Logistics Officer is tasked with overseeing the daily operations of fleet management and general logistics related to programmatic activities. This includes responsibilities such as movement tracking, asset management, warehouse and inventory management, procurement, and other assigned tasks. The Logistics Officer will report both hierarchically and functionally to the senior logistics officer at the regional office, while also receiving technical guidance from the Crisis Response Logistics Coordinator. The role is crucial in ensuring that logistics operations run smoothly and efficiently, thereby supporting the overall mission of FHI 360 in providing humanitarian assistance. The officer will be expected to maintain accurate records, coordinate with field offices, and ensure compliance with FHI 360’s policies and procedures, thereby contributing to the effective delivery of services to those in need.
Duties and Responsibilities: The Logistics Officer will be responsible for a variety of tasks including but not limited to: assisting in procurement tasks in accordance with FHI 360’s Procurement Handbook, liaising with suppliers and vendors to ensure timely delivery of goods, raising Purchase Requests (PR) and managing online receptions, collecting quotations and preparing bid analyses, and ensuring the accuracy of inventories. The officer will supervise the FHI 360 warehouse and fleet management, maintain records, and coordinate with field offices to ensure all logistics operations are documented and updated. Additionally, the officer will oversee the movement of stock to different field offices, support the compilation of monthly stock reports, and ensure the availability of fuel for emergencies. The role also includes managing vehicle movements, assessing routes, assigning drivers, and ensuring compliance with vehicle management policies. The officer will be responsible for maintaining records related to fleet operations, preparing reports for decision-making, and ensuring that all FHI 360 fleet management guidelines are adhered to. Furthermore, the officer will manage fixed assets, ensuring proper recording, updating, and physical counts, and will contribute to the development of maintenance strategies for assets.
Required Qualifications: Candidates must possess a comprehensive knowledge of office equipment, electrical and mechanical systems, as well as strong knowledge of office and procurement standards and practices. Excellent oral and written communication skills are essential, along with proficiency in Microsoft Office and other computer software. The ability to prioritize assignments, work collaboratively with others, and understand blueprints is also required. The candidate should demonstrate problem-solving skills and the ability to exercise judgment within defined policies and procedures.
Educational Background: A Bachelor’s Degree or its international equivalent in Business Administration, Logistics Management, or a related field is required for this position. This educational background provides the foundational knowledge necessary for effective logistics management and operational support.
Experience: The ideal candidate should have 3-5 years of experience providing logistical support in an office setting. Experience in a non-governmental organization (NGO) is preferred, and vocational or specialized training in logistics or related fields is desired. This level of experience ensures that the candidate is well-equipped to handle the complexities of logistics operations in a humanitarian context.
Languages: Fluency in the local language is mandatory, along with excellent proficiency in English. This bilingual capability is essential for effective communication within the organization and with external stakeholders.
