Job Posting Organization: UN Women, established in July 2010, is the United Nations Entity for Gender Equality and the Empowerment of Women. It was created as part of the UN reform agenda to consolidate resources and mandates for greater impact on gender equality and women's empowerment. UN Women merges and builds on the work of four previously distinct parts of the UN system that focused on gender issues. The organization operates globally, with a significant presence in the Pacific region through its Fiji Multi-Country Office (MCO), which collaborates with over 20 other UN agencies across 14 countries and territories in the Pacific.
Job Overview: The Programme Associate position is integral to the UN Women Fiji Multi-Country Office's efforts to eliminate violence against women and girls (VAWG) and promote gender equality (GE) in the Pacific region. Reporting to the EVAWG Programme Management Support Specialist, the Programme Associate will provide essential support to the EVAWG Programme Team in developing and implementing effective programmes that align with UN Women’s rules and regulations. This role involves contributing to research, financial management, and programme implementation, ensuring that operational, administrative, and programmatic support is effectively delivered. The Programme Associate will also assist in coordinating the Pacific Partnership Programme to End Violence Against Women and Girls, which is a significant initiative aimed at changing social norms and ensuring survivors have access to quality response services. The position requires collaboration with various stakeholders, including UN Women HQs, to resolve complex finance-related issues and facilitate the exchange of information.
Duties and Responsibilities: The Programme Associate will be responsible for a wide range of duties, including providing advanced administrative and logistical support for programme formulation and management. This includes preparing programme work plans, budgets, and proposals, as well as offering technical guidance to country offices on programme delivery and reporting. The role also involves coordinating audits, developing standard operating procedures, and organizing meetings for the Pacific Partnership Programme Steering Committee. Financial management tasks include creating projects in the Quantum system, monitoring budgets, preparing financial reports, and ensuring compliance with internal control systems. The Programme Associate will oversee logistical arrangements for meetings and events, manage travel arrangements for the EVAWG Programme Team, and prepare public information materials. Additionally, the role includes supporting resource mobilization efforts and facilitating knowledge sharing within the organization.
Required Qualifications: Candidates must possess a strong knowledge of programme management and demonstrate the ability to create, edit, synthesize, and present information clearly. They should have experience in administering and executing administrative processes and transactions, as well as providing input for business process re-engineering. Excellent financial and budgeting skills are essential, along with proficiency in IT and the ability to manage data and documents effectively. The role requires a commitment to UN Women’s core values of integrity, professionalism, and respect for diversity, as well as competencies in gender sensitivity, accountability, problem-solving, communication, collaboration, and stakeholder engagement.
Educational Background: Completion of secondary education is required, while a Bachelor’s degree in Business or Public Administration is considered an asset. This educational background supports the administrative and programmatic functions of the role, ensuring that the Programme Associate can effectively contribute to the management and implementation of UN Women’s initiatives.
Experience: Candidates should have at least 7 years of progressively responsible experience in administration or programme management/support. Experience in a computer environment using multiple office software packages is required, along with a proven track record of supporting a team. Familiarity with modern web-based ERP systems, preferably Oracle Cloud, is desirable, as it enhances the efficiency of programme management and financial operations.
Languages: Fluency in English is mandatory for this position, as it is the primary language of communication within UN Women and for reporting purposes. Proficiency in additional languages may be considered an asset, particularly in the context of the diverse Pacific region, where multiple languages are spoken.
Additional Notes: The position is full-time and involves working within the UN Women Fiji Multi-Country Office. The Programme Associate will be expected to adhere to UN Women’s policies and procedures, including a zero-tolerance policy on conduct incompatible with the aims of the organization.
