Job Overview:
The Coordination Assistant position is designed to provide essential coordination and administrative support to the Executive Office of the UN Resident Coordinator. The role involves drafting simple correspondences, providing translation and interpretation services, and ensuring that official letters and speeches are formatted according to established standards. The Coordination Assistant will also be responsible for maintaining updated chrono files, archives, and contact information within the Executive Office. This position requires a proactive approach to managing various administrative tasks and supporting the overall functioning of the office. The successful candidate will work closely with the Executive Associate to the Resident Coordinator and will be expected to deliver on ad hoc tasks as assigned, demonstrating flexibility and adaptability in a dynamic work environment.

Duties and Responsibilities:
The duties and responsibilities of the Coordination Assistant include:
  • Providing coordination and administrative assistance to the UN Resident Coordinator (UNRC) and the Executive Office.
  • Finalizing and formatting official correspondences submitted to the Executive Office and coordinating the approval process.
  • Offering simple translation and interpretation services as needed to facilitate communication.
  • Supporting the maintenance of chrono filing systems, archives, and contact information databases within the Executive Office.
  • Completing other ad hoc tasks as requested by the office and/or supervisor, ensuring that all tasks are delivered efficiently and effectively.
  • Engaging with various stakeholders to ensure smooth operations and communication within the office.

Required Qualifications:
The ideal candidate for the Coordination Assistant position should possess a graduate or undergraduate degree with a major in English (translation/interpretation), international relations, public administration, or other relevant fields. A minimum of an undergraduate degree is required for this role. Candidates should demonstrate strong organizational skills, the ability to manage multiple tasks simultaneously, and the capability to work under tight deadlines. Excellent communication and interpersonal skills are essential, as the role involves interaction with diverse stakeholders.

Educational Background:
Candidates must have at least an undergraduate degree in a relevant field such as English (translation/interpretation), international relations, public administration, or similar areas. A graduate degree is preferred but not mandatory. The educational background should provide a solid foundation for understanding the complexities of international relations and administrative functions within the UN framework.

Experience:
The position requires 1 to 3 years of working experience in coordination and administration. Experience with the United Nations, other international organizations, or non-governmental organizations will be considered an asset. Candidates should demonstrate a proven ability to handle multiple tasks and work effectively under pressure, showcasing their experience in similar roles.

Languages:
Fluency in both oral and written English and Chinese is required for this position. Knowledge of an additional UN language is considered an asset, enhancing the candidate's ability to communicate effectively in a multilingual environment.
