Job Overview:
The Project Assistant will play a crucial role in supporting the implementation and development of the harmonization portfolio under the Labour Mobility and Social Inclusion Unit of IOM Turkey. This position involves coordinating and achieving the objectives of the EU-funded project ‘Promoting Sustainable and Socially Inclusive Labour Market Integration’. The project aims to enhance the formal employment of refugees and host community members in Turkey, which is home to the largest refugee population globally. The Project Assistant will assist in daily project activities, ensuring compliance with IOM rules and donor requirements, while also contributing to the overall success of the project through effective administrative and logistical support.

Duties and Responsibilities:
  • Assist in the day-to-day implementation of project activities, ensuring compliance with IOM rules and donor requirements.
  • Collect, organize, and summarize information and data related to project activities, preparing routine updates and background information for supervisors.
  • Monitor project expenditures, assist in budget tracking, and alert supervisors of any variances or required adjustments.
  • Provide administrative and logistical support for project implementation, including preparing documentation, coordinating with internal units, and liaising with external partners as required.
  • Draft simple correspondence, meeting notes, and routine reports related to project activities; support the preparation of more detailed reports by compiling inputs.
  • Assist in organizing meetings, training sessions, and workshops, including preparation of materials, logistical arrangements, and note-taking.
  • Support the preparation and adaptation of training materials and modules, including compiling inputs, formatting, and finalizing documents.
  • Assist in monitoring training activities, including the administration of pre- and post-training evaluation tools and compiling results.
  • Maintain proper project files and records (both electronic and hard copy), ensuring they are accurate and up to date. 1
  • Assist in liaising with local authorities, partners, UN agencies, NGOs, and other stakeholders as instructed by supervisors. 1
  • Monitor activities of implementing partners at the field level and report observations or challenges to supervisors. 1
  • Provide general assistance in the development of project tools, templates, and standard operating procedures under the guidance of senior staff. 1
  • Perform other related duties as may be assigned.

Required Qualifications:
The position requires a high school diploma with five years of relevant experience, or a Bachelor’s degree in Political or Social Sciences, International Relations, Development Studies, Migration Studies, Human Rights, Law, or related fields from an accredited academic institution, with three years of relevant professional experience. Accredited Universities are those listed in the UNESCO World Higher Education Database. Candidates must demonstrate strong organizational skills, attention to detail, and the ability to work effectively in a multicultural environment.

Educational Background:
Candidates must possess either a high school diploma with five years of relevant experience or a Bachelor’s degree in a relevant field such as Political or Social Sciences, International Relations, Development Studies, Migration Studies, Human Rights, Law, or related disciplines. The educational qualifications must be from accredited institutions recognized by the UNESCO World Higher Education Database, ensuring that the candidates have a solid academic foundation to support their professional responsibilities.

Experience:
Candidates should have experience in assisting project implementation, providing administrative support, or coordinating with governmental authorities, national/international institutions, United Nations agencies, or non-governmental organizations. Experience working with migrants, refugees, internally displaced persons, victims of trafficking, or other vulnerable groups is considered an advantage. Prior work experience with international or national humanitarian organizations, NGOs, or government institutions in a multicultural environment is desirable. Familiarity with UN or donor-funded project procedures is an asset, along with experience in supporting the organization of trainings, workshops, or capacity-building activities, including logistical and administrative arrangements.

Languages:
Fluency in Turkish and English is required for this position. IOM’s official languages include English, French, and Spanish. Proficiency in these languages will be specifically evaluated during the selection process, which may include written and/or oral assessments. Candidates who possess additional language skills may have an advantage in the selection process, particularly if those languages are relevant to the migrant populations served by the project.

Additional Notes:
The position is subject to local recruitment, and only candidates holding a valid residence and work permit for Turkey will be eligible for consideration. Any offer made to the candidate is contingent upon funding confirmation. This selection process may also be used to staff similar positions in various duty stations. Recommended candidates will remain eligible for appointment in a similar position for a period of 24 months. Appointment will be subject to certification that the candidate is medically fit for appointment, verification of residency, visa, and authorizations by the concerned Government, where applicable.
