Job Overview:
The Business Support Assistant will play a crucial role in supporting the administrative and financial operations of the WFP in Laos. This position is designed for Lao Nationals only and will be stationed in Xay District, Oudomxai Province. The assistant will work under the direct supervision of the Admin/Finance Associate, contributing to the effective management of resources and ensuring that the administrative processes run smoothly. The role involves collating information for reports, responding to queries, managing routine administrative tasks, maintaining records and databases, and providing business support to staff. The assistant will also be responsible for proof-reading documents and contributing to the improvement of business procedures. This position is essential for ensuring that the WFP can deliver its humanitarian assistance effectively and efficiently.

Duties and Responsibilities:
The Business Support Assistant will have a variety of responsibilities, including but not limited to: collating information for reports and documentation to support the work of other staff; responding to standard queries and providing timely and accurate guidance; processing and managing routine administrative and financial tasks across various functional areas; managing and maintaining records and databases to ensure information is organized and readily available; maintaining relationships with individuals to assist in information sharing and service delivery; proof-reading reports and documentation, making necessary changes according to established guidelines; contributing to the improvement of business procedures and processes; collecting and performing basic analysis of data to enhance business information management; providing guidance to junior colleagues; acting as the Trip Focal Point for travel authorizations and expenditures; serving as the FLEETWave Focal Point for information checking and monthly reporting; and undertaking standard data entry tasks to ensure organized information for the business team.

Required Qualifications:
Candidates must possess a minimum of five years of progressively responsible work experience in a relevant business stream, particularly in general administrative work. They should demonstrate the ability to develop and maintain relationships with a variety of individuals to provide high-quality support services. Candidates should also have the ability to carry out basic data analysis and independently resolve problems that require attention. Strong communication skills are essential for effectively giving and receiving information and working with diverse individuals. Additionally, candidates must be able to maintain confidentiality in all aspects of their work.

Educational Background:
The minimum educational requirement for this position is the completion of secondary school education. A post-secondary certificate in a related functional area is desirable, which would provide candidates with a foundational understanding of the administrative and financial processes relevant to the role.

Experience:
The position requires candidates to have at least five years of progressively responsible work experience in a relevant business stream. This experience should include a strong background in general administrative work, which is crucial for the effective execution of the duties associated with the Business Support Assistant role.

Languages:
Fluency in both oral and written communication in English and Lao is mandatory for this position. This proficiency is essential for effective communication within the organization and with external stakeholders. Additional language skills may be considered an asset but are not required.

Additional Notes:
This position is a Service Contract specifically for Lao Nationals and is initially set for a duration of one year, with the possibility of extension based on performance and organizational needs. The role is full-time and is based in Xay District, Oudomxai Province.
