Job Overview:
The Admin and Procurement Officer is a crucial position within the EpiC project, which is funded by the US Government and aims to achieve HIV epidemic control among at-risk populations. This role encompasses a wide range of administrative and procurement services essential for the smooth implementation of the project. The officer will be responsible for ensuring timely and efficient procurement of goods and services, managing office operations, maintaining proper documentation, and supporting logistics and asset management. The ideal candidate will possess strong organizational and communication skills, a clear understanding of procurement principles, and the ability to thrive in a fast-paced environment. The officer will work closely with project staff, finance, technical teams, and external vendors to ensure compliance with FHI 360’s policies and donor regulations, thereby contributing to the overall success of the project.

Duties and Responsibilities:
The Admin and Procurement Officer will undertake a variety of responsibilities including: supporting procurement processes by preparing RFQs, collecting vendor quotations, conducting bid analysis, and maintaining procurement documentation; ensuring compliance with FHI 360 and USAID procurement policies; maintaining and updating the procurement tracker; assisting in vendor selection and managing vendor relationships; managing office supplies inventory and initiating purchase requests; providing logistical support for meetings, workshops, and travel arrangements; ensuring the maintenance of office facilities and equipment; maintaining updated administrative records and filing systems; supporting fixed asset tagging and physical verification; facilitating timely maintenance and repair of assets; coordinating with finance and program teams on procurement and logistic matters; and performing any other duties assigned by the Operations and Admin Manager or project leadership.

Required Qualifications:
Candidates must possess a minimum graduation degree in business administration or an international equivalent, along with 4-5 years of procurement and administrative support experience. They should demonstrate proactive skills in identifying negotiation opportunities, cost savings, and efficiency improvements. Strong communication skills are essential, with the ability to articulate professionally and positively with clients and staff. Proficiency in Microsoft Office applications, particularly MS Word, Excel, PowerPoint, and Bangla writing, is required. Candidates should also have good documentation skills and the ability to manage tight deadlines while delivering high volumes of work with minimal supervision. The ability to work collaboratively in a multicultural environment is also necessary.

Educational Background:
The position requires a minimum of a graduation degree in business administration or an equivalent field. This educational background is essential for understanding the complexities of procurement and administrative functions within the organization.

Experience:
The ideal candidate should have 4-5 years of relevant experience in procurement and administrative support. This experience should include a proven track record of managing procurement processes, vendor relationships, and administrative tasks in a fast-paced environment. Candidates should also demonstrate their ability to work effectively under pressure and manage multiple priorities.

Languages:
Fluency in English and Bengali is mandatory for this position. Proficiency in these languages is essential for effective communication with clients, staff, and vendors, as well as for documentation and reporting purposes.
