Job Overview: The ICT Contract Management Associate will be responsible for managing the full cycle of ICT contract management within the ICT department. This role involves close collaboration with ICT project managers and various IOM business units to ensure compliance with IOM’s regulations, rules, and procedures. The associate will assist in coordinating and executing the end-to-end ICT contract management cycle, which includes the pre-award phase, award phase, management/development phase, and end of contract lifecycle phase. Key functions include supporting procurement documentation, maintaining contract records, tracking deliverables and deadlines, and ensuring alignment with organizational goals and compliance standards. The associate will also conduct market research to inform the development of Long-Term Agreements (LTAs) and provide daily support in monitoring contract management activities to facilitate timely processing and execution of contract agreements. This position requires a proactive approach to managing contract-related inquiries and maintaining an updated ICT Contract Database, ensuring that essential contract elements are accurately recorded throughout the Procure-to-Pay process. The associate will also document supplier performance and check compliance with agreed terms and conditions in coordination with Project Managers, contributing to the overall efficiency and effectiveness of the ICT department.
Duties and Responsibilities:
Coordinate and execute the full cycle of ICT contract management, including pre-award, award, management/development, and end-of-contract phases.
Support procurement documentation and maintain accurate contract records.
Track deliverables and deadlines to ensure compliance with organizational goals and standards.
Collaborate with Project Managers to identify ICT-related requirements and contribute to contract documentation and planning.
Conduct market research to gather information on potential suppliers for the development of Long-Term Agreements (LTAs).
Monitor contract management activities to facilitate timely processing and execution of agreements.
Act as a focal point for routine contract-related inquiries, providing support on service delivery follow-up, contract obligations, and payment status.
Maintain the ICT Contract Database, ensuring it is regularly updated with essential contract elements.
Assist in the preparation of a centralized contract database storage system that is easily accessible. 1
Track and maintain the master service agreement, providing regular updates on deliverables, milestones, deadlines, payment dates, and notice periods. 1
Document supplier performance and ensure compliance with agreed terms and conditions. 1
Perform other duties as assigned by the supervisor.
Required Qualifications:
High school diploma with five years of relevant professional experience, or a Bachelor’s degree in Business Administration, Accounting, Logistics, Supply Chain Management, or a related field from an accredited academic institution with three years of relevant professional experience.
Knowledge and use of advanced Microsoft Office applications.
Hands-on experience with ERP systems.
Excellent knowledge of public sector procurement and logistics rules and procedures, or similar organizations such as the UN.
Familiarity with accounting systems, software, and procedures.
Ability to prepare clear and concise reports and coordinate administrative activities.
Strong oral and written communication skills.
Good analytical and report-writing skills.
Educational Background: Candidates must possess either a high school diploma with five years of relevant professional experience or a Bachelor’s degree in Business Administration, Accounting, Logistics, Supply Chain Management, or a related field from an accredited academic institution, accompanied by three years of relevant professional experience. Accreditation of universities must be from those listed in the UNESCO World Higher Education Database. A certification in Procurement, Logistics, or Supply Chain Management is considered an advantage for applicants.
Experience: The position requires a minimum of five years of relevant professional experience for candidates with a high school diploma, or three years of relevant professional experience for those with a Bachelor’s degree. Candidates should have hands-on experience with ERP systems and a solid understanding of public sector procurement and logistics rules and procedures, particularly within organizations similar to the UN. Experience in contract management and supplier performance documentation is also essential.
Languages: Fluency in English is required, both oral and written. Knowledge of an official UN language (Arabic, Chinese, French, Russian, or Spanish) is considered an advantage. Proficiency in the required languages will be specifically evaluated during the selection process, which may include written and/or oral assessments.
Additional Notes: The contract type for this position is a One Year Fixed Term, with an initial duration of twelve months and a possibility of extension. The position is classified at Grade G
