Job Overview:
The Project Support Assistant will work under the direct supervision of the Project Manager, providing essential administrative and project management support. This role involves preparing project reports, presentations, and communication materials, assisting in project activities, and ensuring compliance with UNOPS Project Management Manual. The assistant will also support financial administration, maintain project documentation, and assist in travel arrangements for project personnel. The position requires a proactive approach to project implementation and a commitment to supporting the project team in achieving its objectives. The Project Support Assistant will also engage in procurement and logistics support, ensuring that all procurement processes are followed and that goods and services are delivered on time and in accordance with project requirements. Additionally, the role includes knowledge building and sharing, where the assistant will participate in training sessions and contribute to knowledge networks.

Duties and Responsibilities:
  • Administrative and Project Management Support: Prepare project reports, presentations, meeting minutes, and concept notes; assist in communication of project outcomes; support project activities focusing on compliance; provide general administration support; assist in financial administration; ensure record keeping of project-related activities; support travel arrangements for project personnel.
  • Procurement and Logistics Support: Support procurement processes, maintain correspondence with vendors, arrange transportation and logistics, process invoices, assist in drafting financial reports, investigate post-order problems, collaborate with UNOPS Procurement unit, and maintain working files on procurement activity.
  • Knowledge Building and Knowledge Sharing: Assist in training sessions, participate in knowledge networks, and collect feedback for efficiency gains. The incumbent may also perform other tasks as assigned by the supervisor.

Required Qualifications:
The ideal candidate should possess strong organizational skills, attention to detail, and the ability to work collaboratively within a team. Proficiency in project management tools and techniques is essential, along with excellent communication skills in both written and verbal formats. The candidate should demonstrate adaptability and flexibility in a dynamic work environment, showcasing creativity and sound judgment in decision-making processes. Professionalism and self-management are also key attributes for success in this role.

Educational Background:
A bachelor's degree in a relevant field such as business administration, project management, or a related discipline is required. Additional certifications in project management or procurement would be advantageous and demonstrate a commitment to professional development in the field.

Experience:
Candidates should have a minimum of 1-2 years of relevant experience in project support, administration, or a related area. Experience working in an international organization or within the UN system is highly desirable. Familiarity with procurement processes and financial administration will be beneficial for this role, as well as experience in supporting project teams in achieving their objectives.

Languages:
Fluency in Bengali is mandatory, as it is the official language of Bangladesh. Proficiency in English is also required, as it is the working language of UN Agencies. Knowledge of additional languages would be considered an asset, enhancing communication with diverse stakeholders.

This position is based in Dhaka, Bangladesh, which is the capital and largest city of the country. The role is full-time, and the incumbent may be required to engage in various tasks as needed by the project team.
