Job Overview: The Logistics Assistant for Warehouse & Fleet Management is tasked with overseeing the daily logistics operations of the field office, which includes fleet management, warehouse management, and general logistical support for programmatic activities. This role is crucial for ensuring the smooth movement of vehicles and effective management of warehouse operations. The position requires close collaboration with the Logistics Officer and involves planning transportation activities, monitoring vehicle movements, ensuring compliance with safety and legal standards, and maintaining accurate records of vehicle and warehouse operations. The Logistics Assistant will play a key role in supporting the overall logistics needs of the organization, ensuring that supplies and resources are delivered efficiently and safely to the field.
Duties and Responsibilities: The Logistics Assistant will be responsible for a variety of key tasks including:
Fleet Management: Planning monthly transportation activities, monitoring vehicle movements, ensuring compliance with reporting procedures for incidents, maintaining vehicle logs, and ensuring all vehicles are clean, roadworthy, and equipped with necessary safety equipment.
Warehouse Management: Checking the quality and quantity of goods received, creating and updating stock cards, organizing and storing goods, preparing outgoing shipments, monitoring stock levels, and maintaining an asset register.
General Logistics Support: Collaborating with transport officers, conducting physical inventory checks, preparing documentation for asset movement, and contributing to inventory and asset reports. The role may also involve additional duties as assigned by the Logistics Officer.
Required Qualifications: Candidates must possess an Associate's degree or an international equivalent in Business Administration or a related field, with a Bachelor's degree preferred. The position requires 2-3 years of experience in logistics within an office setting, with vocational or specialized training being desirable. Prior experience in a non-governmental organization (NGO) is a plus but not mandatory. Candidates should demonstrate strong organizational skills, attention to detail, and the ability to manage multiple tasks effectively.
Educational Background: The educational background required for this position includes an Associate's degree or an international equivalent in Business Administration or a related field. A Bachelor's degree is preferred, indicating a higher level of education and understanding of business operations and logistics management.
Experience: The ideal candidate should have 2-3 years of relevant experience in logistics, particularly in an office environment. Experience in a non-governmental organization (NGO) is desirable but not a strict requirement. The candidate should be familiar with logistics operations, fleet management, and warehouse management practices.
Languages: Fluency in the local language is mandatory, along with excellent proficiency in English. This bilingual capability is essential for effective communication within the organization and with external stakeholders.
Additional Notes: This position is based in Ethiopia and may involve working in a typical office environment. The role requires the ability to sit and stand for extended periods. The candidate will utilize various technologies including personal computers and Microsoft Office 365 applications.
