IOM's Movement Operations departments are responsible for all aspects of travel for migrants and refugees, ensuring compliance with various framework agreements with resettlement and receiving governments and partners.

Job Overview:
The Operations Assistant (Data Processing) plays a crucial role in the Movement Operations department of IOM, which is responsible for the organized movement of migrants and refugees. This position involves recording demographic and biographic information in the MiMOSA system upon receipt of travel requests, ensuring secure storage of documentation, and processing exit permits in coordination with relevant authorities. The Operations Assistant will also prepare travel-ready documentation, assist in data mining reports, and maintain confidentiality and integrity of all relevant paperwork. The role requires a strong understanding of Movement Operations SOPs and the ability to interact professionally with migrants and colleagues, adhering to IOM's Code of Conduct and standards of conduct.

Duties and Responsibilities:
The Operations Assistant will be responsible for the following duties:
  • Record demographic and biographic information in MiMOSA upon receipt of travel requests and confirm receipt to third parties.
  • Notify the National Associate Movement Operations Officer of new travel assistance requests.
  • Secure and account for travel documents according to local SOPs.
  • Ensure secure storage of documentation and data, guaranteeing limited access to physical files.
  • Process exit permits in coordination with supervisors and relevant authorities.
  • Ensure timely dispatch of travel documents and prepare all necessary documentation for transfer to Field Support colleagues.
  • Prepare reports on documentation receipt and service delivery, informing supervisors of any issues and suggesting corrective actions.
  • Assist in preparing regular data mining reports to maintain the integrity of Movement Operations projects.
  • Provide feedback on work progress and keep supervisors informed of any issues. 1
  • Maintain confidentiality and integrity of paperwork in line with data protection rules. 1
  • Alert management of any non-compliance with SOPs or codes of conduct. 1
  • Perform other duties as assigned.

Required Qualifications:
Candidates must possess a Bachelor’s degree from an accredited institution with three years of relevant professional experience, or a high school diploma with five years of experience. Accredited universities are those listed in the UNESCO World Higher Education Database. Strong computer skills, particularly in Word, Excel, and Internet usage, are essential. Experience with Movement Operations-related databases and systems, such as iGATOR, MiMOSA, SAR, and Amadeus, is a strong advantage. Candidates should also demonstrate a commitment to IOM's values and competencies, including teamwork, delivering results, accountability, and effective communication.

Educational Background:
A Bachelor’s degree from an accredited academic institution is required, along with three years of relevant professional experience. Alternatively, candidates with a high school diploma must have five years of relevant experience. The educational institutions must be recognized by the UNESCO World Higher Education Database to ensure the credibility of the qualifications.

Experience:
Candidates should have a minimum of five years of relevant working experience. Those with a Bachelor’s degree should have at least three years of experience. Prior experience in Movement Operations or transportation is considered a strong advantage, as it provides valuable insights into the operational aspects of the role.

Languages:
Fluency in English is required, both oral and written. A working knowledge of Dari and any local language would be advantageous. Proficiency in the required languages will be evaluated during the selection process, which may include written and/or oral assessments. IOM's official languages are English, French, and Spanish, and knowledge of these languages can enhance communication within the organization.

Additional Notes:
This position is subject to local recruitment, and only candidates holding a valid residence and work permit for Pakistan will be considered. The appointment will be contingent upon certification of medical fitness, verification of residency, visa, and government authorizations where applicable. IOM has a zero-tolerance policy regarding conduct incompatible with the aims and objectives of the United Nations and IOM, including sexual exploitation and abuse, harassment, and discrimination. The selection process may also be used to fill similar positions in various duty stations, and recommended candidates will remain eligible for appointment in similar positions for a period of 24 months.
