Job Overview:
The Document Management Consultant position is designed to enhance the efficiency and effectiveness of document management processes within the UNCDF office in Ethiopia. The consultant will be responsible for developing and implementing strategies for managing documents and records, ensuring compliance with organizational policies and procedures. The role requires a thorough understanding of document management systems and practices, as well as the ability to work collaboratively with various stakeholders to streamline processes. The consultant will be expected to deliver high-quality outputs within a specified timeframe, contributing to the overall goals of the UNCDF office in Ethiopia. This position is crucial for maintaining the integrity and accessibility of important documents and records, which are essential for the organization's operations and decision-making processes.

Duties and Responsibilities:
  • Assess the current document management practices and identify areas for improvement.
  • Develop a comprehensive document management strategy that aligns with UNCDF's policies and objectives.
  • Implement document management systems and tools to enhance efficiency and accessibility.
  • Train staff on best practices for document management and ensure compliance with established procedures.
  • Monitor and evaluate the effectiveness of document management processes and make recommendations for continuous improvement.
  • Collaborate with IT and other departments to integrate document management systems with existing technologies.

  • Provide regular reports on the status of document management initiatives and progress towards goals.
  • Assist in the development of policies and guidelines related to document management.

Required Qualifications:
  • Proven experience in document management, records management, or related fields.
  • Strong knowledge of document management systems and best practices.
  • Excellent organizational and analytical skills.
  • Ability to work independently and collaboratively in a team environment.
  • Strong communication skills, both written and verbal.
  • Proficiency in relevant software applications and tools for document management.

Educational Background:
A bachelor's degree in information management, library science, business administration, or a related field is required. A master's degree in a relevant discipline is preferred and may be considered an asset for this position.

Experience:
A minimum of 5 years of professional experience in document management or records management is required. Experience working with international organizations or in a development context is highly desirable. Familiarity with UN policies and procedures will be considered an advantage.

Languages:
Fluency in English is mandatory. Knowledge of local languages spoken in Ethiopia is an asset and may enhance communication with local stakeholders.

Additional Notes:
This position is for an individual contractor and is expected to last for a period of 20 working days. The consultant must be an Ethiopian national currently residing in Ethiopia to be eligible for this position. The deadline for submitting proposals is 31-Jul-25 at 10:59 PM (New York time).
