Job Overview:
The Supply Chain Assistant position at IOM South Sudan is a critical role that involves managing the procurement of supplies, services, and works for the IOM Country Office in Juba. The successful candidate will work under the supervision of the Head of Supply Chain Unit and the Supply Chain Officer, collaborating with various units to ensure efficient procurement processes. The role requires adherence to IOM procurement procedures and guidelines, ensuring that all procurement activities are conducted in a transparent and accountable manner. The Supply Chain Assistant will be responsible for soliciting and analyzing bids, participating in supplier appraisals, and ensuring compliance with established procurement standards. This position is essential for supporting IOM's humanitarian activities and ensuring that resources are available for effective program implementation.

Duties and Responsibilities:
The Supply Chain Assistant will have a comprehensive set of responsibilities, including but not limited to: carrying out procurement for IOM's satellite office in accordance with established procedures; soliciting and analyzing bids for conformity to specified requirements; participating in supplier appraisals and selection; adhering to systems and procedures for procurement, supply, and transport; maintaining procurement files and documentation; following up on purchase orders and keeping stakeholders informed about delivery timelines; conducting reviews of vendor invoices for compliance; submitting payment requests with supporting documentation; maintaining asset inventory records; ensuring proper registration and tagging of assets; coordinating vehicle controls and staff movements; and undertaking any other duties as assigned by management. This role requires a proactive approach to problem-solving and the ability to work effectively in a challenging environment.

Required Qualifications:
Candidates must possess a university degree from an accredited institution in supply chain management, logistics, administration, or a related field, along with a minimum of three years of professional experience. Alternatively, candidates with a school diploma and five years of professional experience will also be considered. Proficiency in computer applications and knowledge of procurement software such as SAP, PRISM, or WAVE is essential. The ideal candidate should demonstrate strong organizational skills, attention to detail, and the ability to work both independently and as part of a team.

Educational Background:
The educational background required for this position includes a university degree in supply chain management, logistics, administration, or a related field. Candidates with a completed college diploma in these areas, combined with relevant professional experience, may also be considered. The emphasis is on obtaining a solid foundation in supply chain principles and practices, which is crucial for the effective execution of the role's responsibilities.

Experience:
The position requires a minimum of three years of professional experience in supply chain management, logistics, or administration. Candidates with a school diploma must have at least five years of relevant experience. Experience working in remote locations and with international organizations, particularly within the UN system, is highly advantageous. Familiarity with procurement processes and logistics operations is essential for success in this role.

Languages:
Fluency in English, both verbal and written, is mandatory for this position. Additionally, candidates should be fluent in verbal Juba Arabic, which is important for effective communication within the local context. Proficiency in other languages may be considered an asset but is not required.
