Job Overview:
The PSP Assistant position is crucial for supporting the Private Sector Partnership (PSP) initiatives in Malaysia. The role involves assisting in various administrative and financial tasks that are essential for the smooth operation of fundraising activities. The incumbent will work closely with the PSP officer to ensure that financial transactions are processed accurately and in compliance with relevant policies. This position requires a proactive individual who can manage multiple tasks efficiently and contribute to the overall goal of establishing a sustainable source of funding through donor recruitment. The PSP Assistant will also play a vital role in enhancing UNHCR's visibility and public perception in Malaysia, ultimately aiding in the support of refugees and other persons of concern.

Duties and Responsibilities:
The PSP Assistant will be responsible for a wide range of duties, including but not limited to: assisting in the preparation of financial transactions in accordance with established policies; preparing budget and accounting data by checking files and calculating expenditures; issuing purchase orders and vouchers for various payments; preparing payment request memos; monitoring and recording expenditure; processing online bank transfers; assisting in the drafting of procurement documents; maintaining an efficient archiving system for both physical and electronic files; managing petty cash flow; organizing appointments and meetings; sorting and distributing correspondence; facilitating personnel administrative formalities; maintaining office inventory; making logistical arrangements for seminars and workshops; monitoring office facilities and equipment; and acting as the Human Resources focal point for PSP Malaysia. The role may also involve performing other related duties as assigned by supervisors.

Required Qualifications:
Candidates must possess a completion of Secondary Education or a University-level education in communication, marketing, or related fields. A minimum of one year of work experience is required for those with a High School Diploma, while candidates with a Bachelor's degree or higher may apply with no prior experience. Experience in customer service, individual donor relations, or digital agency services is considered an asset. Key competencies include the ability to manage a complex workload, work independently, and communicate effectively with individuals from diverse backgrounds. Proficiency in computerized accounting packages, Excel, PowerPoint, and Word is essential, along with knowledge of refugee issues and UNHCR operations being advantageous.

Educational Background:
The educational background required for this position includes the completion of Secondary Education or a University-level degree in relevant fields such as communication, marketing, or other related areas. This educational foundation is critical for understanding the complexities of fundraising and donor engagement, as well as for performing the administrative tasks associated with the role.

Experience:
The position requires a minimum of one year of relevant work experience for candidates with a High School Diploma. However, candidates with a Bachelor's degree or higher are eligible to apply without prior experience. Experience in customer service, individual donor relations, or working with digital agencies is highly valued and will enhance a candidate's suitability for the role.

Languages:
The mandatory language for this position is English, with excellent proficiency required in both written and oral communication. Additionally, proficiency in Bahasa Malaysia is essential.
